General Description/Position Summary
The Facilities Maintenance Manager is responsible for overseeing and directing all preventive and scheduled maintenance, repair, and sanitation functions across all Three Square facilities. This role manages a small team and ensures that all buildings, equipment, and systems operate safely, efficiently, and in compliance with regulatory standards. Coordination of after-hours calls and emergency response as needed to ensure continuous facility operations
This position involves hands on work in multiple maintenance disciplines, including electrical, HVAC, plumbing, refrigeration, carpentry, and general housekeeping. While providing strategic oversight, vendor coordination, and team leadership. The Manager also supports food safety, compliance, and inspection readiness across all facilities.
Key Responsibilities
Maintenance & Operations
- Oversee and perform a variety of building maintenance and repair tasks, including electrical, HVAC, plumbing, refrigeration, carpentry, painting, and general facility upkeep.
- Conduct regular facility inspections to identify maintenance needs, safety hazards, and opportunities for improvement.
- Manage preventive maintenance schedules to ensure optimal performance of all facility systems and equipment.
- Monitor and respond to temperature, fire, and facility alarms in coordination with the monitoring vendor.
- Ensure the sanitation, safety, and cleanliness of all facilities, including warehouses, offices, restrooms, and exterior areas.
- Serve as the primary point of contact for after-hours maintenance calls and coordinate timely response for emergencies or urgent facility needs.
Vendor & Project Management
- Identify, evaluate, and recommend vendors for maintenance and capital projects based on cost, quality, licensing, certifications, and return on investment.
- Oversee external contractors to ensure quality work, safety compliance, and adherence to project timelines.
- Create purchase orders, process invoices, and maintain accurate records of all vendor services and repairs.
Team Leadership & Administration
- Supervise, coach, and develop the facilities maintenance team, providing ongoing feedback, training, and performance evaluations.
- Manage scheduling, payroll processing, and daily work assignments.
- Lead team meetings and participate in cross-departmental discussions to ensure alignment on operational priorities.
- Promote a culture of safety, accountability, and continuous improvement.
Safety, Compliance & Audits
- Partner with the Director of Operations, Operations Logistics Manager, Warehouse Manager, Human Resources, and external providers to ensure compliance with all safety and regulatory requirements.
- Support and prepare for multiple inspections and audits, including AIB Food Safety, USDA, SNHD, Feeding America, Annual Inventory, and TEFAP.
- Maintain documentation, training, and Good Manufacturing Practices (GMPs) to support successful audit outcomes.
- Adhere to all OSHA and internal safety guidelines and ensure team compliance.
Budgeting & Continuous Improvement
- Develop and manage the facilities budget, ensuring cost efficiency and strategic use of resources.
- Implement systems and processes to improve maintenance effectiveness and organizational efficiency.
- Contribute to the creation and implementation of Standard Operating Procedures (SOPs) for maintenance and repair activities.
Requirements
Qualifications
- High school diploma or GED required; technical or trade certifications preferred.
- Minimum of 5 years of experience in facility maintenance, with strong working knowledge of HVAC, electrical, and plumbing systems.
- HVAC and plumbing certifications highly desirable.
- Proven leadership experience managing maintenance teams.
- Strong problem-solving, organizational, and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in basic computer applications (Word, Excel, internet navigation).
- Must possess a valid driver’s license, safe driving record, and current vehicle insurance.
- Ability to pass a criminal background check and drug/alcohol screening.
- Ability to respond to after-hours calls and occasional weekend needs as part of on-call responsibilities

Work Environment
This position requires regular physical activity, including standing, walking, bending, kneeling, climbing, and lifting up to 100 pounds. Work occurs primarily in warehouse and industrial environments, often on concrete floors and in varying temperatures (including freezers and outdoor areas). Conditions may be dusty, noisy, or exposed to weather elements.
