The City of Torrance is recruiting for a City Council Staff Assistant to be part of the City Manager's Office Team!

The Opportunity
Under the direction of the City Manager's Office, the Staff Assistant to the City Council performs a wide variety of complex and confidential administrative duties in support of the Mayor and six Councilmembers. This position plays a vital role in ensuring the smooth operation of the City Council Office by coordinating communications, managing schedules, preparing correspondence, and serving as a key liaison between the City Council, City staff, and the public. While the primary duties of this position are to support City Council, this position is integral to the City Manager’s Office and will provide support to the administrative team as needed.

This is a high-profile position that requires a professional who can demonstrate diplomacy, sound judgment, and discretion when handling sensitive and confidential matters. The ideal candidate will be comfortable balancing multiple projects and deadlines while maintaining a high level of accuracy, professionalism, and service.

Key Responsibilities
  • Serve as the primary point of contact for the Mayor and City Council, responding to inquiries and requests from the public, City staff, and external stakeholders.
  • Manage calendars, appointments, and meetings; coordinate attendance at City events and community functions.
  • Prepare correspondence, reports, and informational materials; proofread and ensure accuracy and professionalism in all communications.
  • Coordinate travel, logistics, materials, reimbursements, and account reconciliations for Council, meetings and conferences for meetings and conferences.
  • Maintain confidential records, files, and documents in accordance with City policies.
  • Provide administrative support for City Council meetings, including agenda coordination and follow-up activities as needed.
  • Communicate tactfully and effectively with a diverse range of individuals, including residents, City employees, and officials.
  • Perform other related duties as assigned.

Position Duties

Any combination of education and experience that would provide the required knowledge and abilities is qualifying.  A typical way to obtain the knowledge and skills would be:
 
Graduation from high school or equivalent and four (4) years of highly responsible executive support and/or administrative work in a public agency;
OR 
An equivalent combination of education, training, and experience such as an Associate's degree in Public or Business Administration or a related field and two (2) years of related experience;
OR 
A Bachelor's degree in Public Administration, Business Administration or a related field.

  • Ability to manage a variety of internal and external questions and requests with tact, diplomacy, and confidentiality;
  • Exceptional interpersonal skills & ability to interact with community members, businesses, residents, City staff, and City Council;
  • A polished and professional demeanor;
  • Self-motivation and the ability to work independently;
  • Excellent written and oral communication skills;
  • Ability to operate office equipment and knowledge of Microsoft Office;
  • Effectively handle multiple projects and constantly shifting priorities.
 Ability to respond and adapt to the high demands of the position is highly desirable.
