Pay Range: $19.00-$23.00 (Pay information will vary depending upon relevant experience for the position)
Full Time 40 hours Days
GENERAL SCOPE: The Short-Term Rehab Unit Secretary provides administrative and clerical support to ensure efficient operation of the rehabilitation unit. This role facilitates communication between staff, residents, families, and external providers, while maintaining accurate records and supporting the delivery of high-quality care.
ESSENTIAL FUNCTIONS:
- Greet and assist residents, families, and visitors in a professional and compassionate manner.
- Answer and direct phone calls; relay messages to appropriate staff.
- Schedule resident appointments (e.g., therapy, physician visits, transportation).
- Maintain and organize resident charts and medical records in compliance with HIPAA.
- Assist with admission and discharge paperwork and coordination.
- Prepare and distribute daily census reports and other unit documentation.
- Order and maintain inventory of office and unit supplies.
- Support interdisciplinary team meetings by preparing materials and recording minutes.
- Coordinate communication between nursing, therapy, dietary, and social services.
- Perform other administrative duties as assigned by the Unit Manager or DON.
- All other job duties assigned.
EXPERIENCE:
- Minimum 1 year of clerical experience in a healthcare or long-term care setting.
- Proficiency in Microsoft Office Suite and electronic health record (EHR) systems.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to handle sensitive information with discretion and professionalism.
- Familiarity with medical terminology and HIPAA regulations preferred.
