Job Description

The Manager, Events, is a regular full-time position based in Colorado Springs, CO, reporting to the Director, Events. This role serves as the Event Manager for assigned USA Volleyball (USAV) Championship Events and large-scale USAV-owned National Qualifiers. The position oversees all aspects of event planning, logistics, and on-site execution, while managing assigned budgets, supervising staff, and ensuring the delivery of high-quality, safe, and engaging event experiences.

This position collaborates extensively with convention centers, sponsors, vendors, housing companies, and a range of internal and external partners to deliver successful events that uphold USAV’s standards of excellence.


Cross-departmental collaboration is expected of all USAV employees. The position requires extended hours, including evenings, weekends, and holidays, and significant travel during peak event seasons.

Requirements

  

Summary of Duties and Responsibilities include but are not necessarily limited to:

  • Supervise direct report(s), communicate job expectations, and conduct annual performance reviews and job assessments. 
  • Prepare, execute, and monitor assigned event budgets by tracking expenditures, regularly reviewing, and analyzing budget variances, preparing detailed budget presentations, and ensuring financial accountability throughout the lifecycle of each event.
  • Serve as the Tournament Director, managing all pre-event aspects of USAV assigned national events, including, but not limited to event logistics, event execution and making all final decisions (eligibility, disqualifications, financial decision) on the ground at the assigned events.
  • Spearhead communication with internal departments to include IT, Membership, Marketing, Brand and Communications, Officials, Safe Sport, Spector Admissions, and Warehouse operations to optimize event promotion, experiences, and safety. 
  • Evaluate and approve prepared operational plans, schedules, and post-event reports to assess success and identify areas for improvement. 
  • Primary contact for sponsors and vendors. Ensures in-venue promotions are successfully executed onsite.
  • Identify and contract Independent Contractors, communicate regularly and ensure independent contractors meet service deliverables per contractual terms for major USAV owned national qualifiers and championships. 
  • Manage customer service for event related inquiries.
  • Work with warehouse operations in budget preparation and to prepare, pack, distribute, or ship all event materials and equipment for assigned events. 
  • Manage the relationship with the hotels and USAV housing company for assigned USAV events.
  • Forecast and procure appropriate VIK inventory levels for assigned events. 
  • Budget and procure awards (medals, trophies, and ribbons) and assign awards committee to present awards at assigned events. 
  • Responsible for the Championship Manual(s) of respective assigned events and working with constituent groups in keeping it updated and current.
  • Work with the Junior Assembly, RVA Assembly, and Officials Assembly to maximize the quality of all USAV Championship Events. Attend meetings as necessary.
  • Work with the appropriate recruiting services in the collection of current player information and statistics for the benefit of college recruiters that may attend the assigned events.
  • Manage the full RFP process for assigned events for external services providers —initiating, negotiating, and evaluating proposals, such as decorator services, heavy equipment, internet, court flooring rentals, security, A/V and other essential event service providers—to ensure cost-effective, compliant, and high-quality event execution. 
  • Work directly with contracted service providers onsite to ensure all services are delivered safely, on schedule, within budget, and to USAV’s quality standards.
  • Manage major operational and strategic initiatives within and across departments, including Value-In-Kind (VIK) inventory ordering and coordination, awards programs, warehouse logistics, bid distribution, and other experiential components critical to the success of USAV events. 
  • Enforce the Stay & Play policy in conjunction with third-party housing company and ensure the implementation of current hotel booking policies.
  • Communicate requirements and recommend enhancements regarding the event registration system for USAV events and user constituents.
  • Other duties and projects as assigned.

Qualifications:

  • Bachelor degree in Business Administration, Event Management, Sports Management, or a related field; or related degree or equivalent work experience. 
  • Five years’ minimum experience in event management.
  • Supervisory experience is a plus. 
  • Demonstrated experience working with event database systems or registration systems.
  • Able and willing to travel extensively, including weekends and holidays. 
  • Demonstrated experience providing exceptional customer service and stakeholder satisfaction.
  •  Strong organizational, project management, and communication skills, with the ability to prioritize competing demands in a fast-paced environment. Sport event experience is a plus especially for the sport of indoor volleyball. 
  • Experience working within the USOPC/National Governing Body (NGB)/Regional Volleyball Associations (RVA) structure is a plus.
  • Must successfully pass a USAV background screen (prior to hire date). 
  • Must complete SafeSport training within two weeks of hire date and keep current as a condition of continued employment.

Salary: $68-$72K
