General Purpose:
The Accounts Payable Clerk is responsible for managing and processing all invoices and making payments for products and services, along with creating and managing various financial spreadsheets. This role is integral to the finance department, ensuring accuracy and efficiency in all transactions.
Essential Duties:
- Process daily mail, including opening, sorting, and filing of open payables.
- Reconcile monthly statements and mail weekly checks.
- Liaise with vendors for open invoice copies and resolve inquiries.
- Perform scanning of checks and invoices from weekly check runs.
- Handle account payable phone inquiries and follow-ups.
- Manage stop payments, voids, and reissuance of checks as necessary.
- Oversee invoices for assigned vendors, ensuring compliance with Accounts Payable policies.
- Support management with special projects as required.
- Issue off-cycle check requests (quick checks) as needed.
- Manage daily deposits, including preparation of cash over/short reports and cash activity reports.
- Process petty cash reimbursements and daily change order requests.
- Issue and count employee banks; assist with bank audits.
- Perform other related duties as assigned.
- Maintain resort licenses spreadsheet and facilitate renewals
Education & Experience:
- High school diploma or equivalent (GED) required.
- Minimum of two years of Accounts Payable or related accounting experience.
- Proficiency in Microsoft Office products is a must.
- Knowledge of Florida Use Tax laws is preferred.
Skills:
- Strong verbal and written communication skills.
- Ability to work effectively in a team environment with minimal supervision.
- Basic computational and computer skills, including familiarity with accounting software.
- Understanding of the principles and practices within the hospitality industry.
- Capable of analyzing complex information to improve practices or develop new approaches.
- Decision-making skills with general policies and procedures for guidance.
Physical Demands:
- Primarily indoor work with moderate, controlled temperatures.
- Required to be at a desk for the majority of the day in a cubicle or office.
- Ability to sit at a desk for up to 5 hours per day; walking and standing required for the remainder of the day.
- Must be able to perform tasks requiring bending, stooping, squatting, and stretching.
- Requires manual dexterity for operating office equipment.
