Job Overview

The Billing Clerk II plays a vital role in supporting ArborWorks’ financial operations by ensuring the accuracy and timeliness of customer billing for utility and vegetation management projects. This position serves as a key link between the field, operations, and finance teams, helping to translate project data into clear, precise billing documentation.

The ideal candidate is detail-oriented, organized, and committed to accuracy in every task. This role offers the opportunity to work within a collaborative finance environment where process efficiency and continuous improvement are valued. As part of a team that supports essential infrastructure work, Billing Clerk II contributes directly to the reliability and success of ArborWorks’ business operations.


Key Responsibilities

  • Maintain accurate paper and electronic billing records for multiple job codes and work orders.
  • Review supporting documentation and verify data accuracy prior to billing submission.
  • Enter billing information and job cost details accurately into QuickBooks and other internal systems.
  • Prepare billing documentation and summaries based on weekly reporting and project end dates.
  • Scan completed billing packets and attach supporting documentation within QuickBooks.
  • Communicate with internal departments to resolve missing or inaccurate billing information.
  • Professionally correspond with external customers or vendors regarding billing inquiries or adjustments.
  • Escalate billing issues or potential delays to the Billing Supervisor when deadlines cannot be met.
  • Support the Billing Supervisor and other team members with special projects or high-volume billing cycles.
  • Identify opportunities for efficiency, process improvement, and enhanced accuracy in billing workflows.
  • Maintain confidentiality of sensitive financial and customer information.
  • Perform other duties as assigned.

 

Qualifications & Requirements

  • Education: High school diploma or GED required; some college coursework in Accounting, Business, or Finance preferred.
  • Experience: Minimum 1–2 years of billing, accounts receivable, or related administrative experience (utility, construction, or vegetation management industry experience preferred).
  • Proficiency in Microsoft Excel (including Pivot Tables and VLOOKUP) and Microsoft Word.
  • Strong 10-key data entry accuracy and speed.
  • Detail-oriented with strong organizational and time management skills.
  • Ability to meet strict deadlines while maintaining accuracy.
  • Excellent written and verbal communication skills.
  • Strong customer service and interpersonal skills.
  • Ability to work independently and collaboratively within a team.
  • Comfortable working in a fast-paced, deadline-driven environment.

 

Preferred Skills

  • Experience with QuickBooks or similar accounting software.
  • Familiarity with utility billing processes, job cost accounting, or field service billing.
  • Understanding of project coding and timekeeping structures.
  • Experience supporting process improvement initiatives or workflow documentation.
  • Demonstrated ability to identify and resolve discrepancies efficiently.
