About the Team
Space Systems – The Components
Space Systems is where Umbra turns hardware and software designs into on-orbit realities; developing, implementing and iterating mission-ready core technology, while simultaneously advancing the next generation of our own satellite constellation. Space Systems is vertically integrated across the satellite architecture, thus the team designs, builds, and tests an array of critical components and subsystems, including power systems, communications, control systems, deployment hardware, avionics, and payloads, as well as the flight software, firmware and digital design solutions to support the entire hardware stack. Our focus is on first principles engineering, and our mandate is simple: it has to work when it counts. Every bolt, board, and binary is proven on our own SAR constellation, ensuring flight-proven reliability where failure is not an option.

About the Job
The Business Operations Specialist will play a critical role in defining, implementing, and maintaining core business processes across the organization. This individual will work cross-functionally with stakeholders in Engineering, Business Development, Finance, and Operations to drive process standardization, ensure documentation accuracy, and enable scalable growth. The role will also oversee configuration and document control activities, as well as support administrative functions for the Business Development team.
This position is based on-site in our Santa Barbara/Goleta, CA office.
Key Responsibilities
- Business Development and Capture Administration
- Support the Business Development team by maintaining proposal templates, opportunity tracking tools, and associated documentation.
- Coordinate inputs from multiple stakeholders during proposal and contract preparation cycles.
- Manage internal repositories and ensure that BD collateral, price lists, and related materials remain current and controlled.
- Business Process Development & Implementation
- Collaborate with stakeholders across departments to design, document, and roll out standardized business processes that improve efficiency and alignment.
- Identify gaps and inefficiencies in current workflows and propose improvements.
- Track and manage process adoption and drive continuous improvement initiatives.
- Documentation & Configuration Management
- Establish and maintain company standards for process documentation, ensuring clarity, accessibility, and version control.
- Administer configuration management policies and tools to maintain traceability of business documents, templates, and controlled artifacts.
- Serve as the point person for document control, including review cycles, approvals, and archival processes.
Requirements
Required Qualifications
- Bachelor’s degree in Business Administration, Communications, Social Science, or a related field, or equivalent combination of education and relevant professional experience.
- 5+ years of experience in administrative, document control, or process support roles in engineering, operations, or business development environments.
- Proven ability to manage document and configuration control systems, including versioning, controlled distribution, and traceability (e.g., PDM, ERP, or similar systems).
- Demonstrated experience developing, formatting, and maintaining documentation, procedures, and work instructions to organizational standards.
- Strong organizational skills with the ability to coordinate across multiple stakeholders and departments to collect inputs, manage schedules, and track deliverables.
Desired Qualifications
- 10+ years of experience in administrative, document control, or process support roles in engineering, operations, or business development environments.
- Experience working in aerospace, defense, or other regulated industries, with familiarity in quality or compliance-driven documentation practices (e.g., AS9100, ISO).
- Familiarity with business development or capture processes, including proposal coordination, gate reviews, or teaming agreement administration.
- Experience supporting ERP system implementations or process improvements, including drafting workflows and training materials.
- Demonstrated ability to create and maintain standardized templates, forms, and process documentation across multiple business functions.
- Excellent communication and proofreading skills, with prior experience editing technical or proposal documents for clarity, accuracy, and compliance.

This job posting may cover multiple career levels. To ensure greater transparency, we provide base salary ranges for all roles, regardless of location. Our standard pay ranges are based on the role’s function and level, benchmarked against similar growth-stage companies. Compensation may vary based on geographical location, as certain regions may have different cost-of-living factors. The final offer will also be influenced by the candidate's skills, responsibilities, and relevant experience.
Compensation Range
The Compensation Range for this role is $110,000 - $130,000 DOE.
