About the Department
Position Duties
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties necessary to deliver services to customers and citizens may be assigned.
• Makes initial and follow-up contact with clients in person, by phone or email. Request needed information or verification
• Schedules appointments for clients to meet with staff by way of letter, email and follow-up phone calls
• interviews applicants for benefits and/or services programs, provides information regarding various programs and benefits, general eligibility requirements, policies and procedures
• Assigns and distributes cases to appropriate staff members
• Assists in the orientation/training of new staff and clients
• Cross-trains and supports the Aide III position in the Child Care Subsidy Program Unit
• Analyzes needs and coordinates referrals to internal and external programs, services and community resources as needed
• Transport clients to various appointments, work sites and other locations as deemed necessary
• Requires ability to use Microsoft Word and Excel as well as other computer programs used to determine eligibility and support case management staff
• Researches a variety of databases (including local and state agencies' databases) to obtain and/or verify information needed to process applications. Attaches information to applications for documentation purposes
• Establishes case files in manual and automated systems
• Copy and scan documents for case files
• Maintains complex caseload and financial records, forwarding data to appropriate staff members
• Prepares financial documentation, facilitates supportive service payments, maintains accurate and organized financial logs
• Assists in the preparation of monthly, special and other reports for statistics
• Maintains inventory and orders supplies for staff and clients
• Provides coverage for customer service desks within the agency.
• Other clerical and support duties as assigned
When unusual situations occur and/or the City Manager declares a State of Emergency, all City employees may be required to accept special assignments and perform as needed to ensure appropriate service delivery.
Required to participate in emergency operations as needed.Other duties necessary to deliver services to customers and citizens may be assigned.
Regular in-office attendance is required.
Supervisory Responsibilities:
No supervisory responsibilities are associated with this position.

EDUCATION AND EXPERIENCE
High school diploma or GED. Completion of 30 credit hours of related college courses (2 years related experience may be substituted). Considerable experience in public administrative support working in a diverse population. Requires ability to use Microsoft Word and Excel as well as other computer programs used to determine eligibility.
Other Qualifications
Possession of valid driver's license issued by the Commonwealth of Virginia and acceptable driving record according to City criteria.
Must successfully complete Criminal Records background check and Child Protective Services Registry Check.
Must successfully complete IS100 and IS700 National Incident Management (NIMS) training within 90 days of employment. May also be required to complete higher levels of NIMS training as determined appropriate for the position.
