Position Overview
We’re seeking a highly organized, detail-oriented, and enthusiastic Wholesale Administrator to support our fast-growing wholesale division. This role is pivotal in ensuring smooth operations across sales, customer service, trade shows, and retail partnerships. The ideal candidate thrives in a dynamic environment, enjoys being the go-to support for a busy sales team, and can juggle multiple priorities with grace and precision.
Requirements
Key Responsibilities
Sales & Account Support
- Serve as the primary liaison between sales reps and internal teams for account setup, order entry, and follow-up
- Manage daily inventory requests and coordinate fulfillment for key retailers (e.g., Dillard’s, Macy’s, Living Spaces)
- Assist in customer meetings and follow-up communications
- Process wholesale, retail, and online transactions
- Support sales reps with product questions, merchandising needs, and display coordination
Customer Service
- Respond to customer inquiries via phone and email with professionalism and empathy
- Assist with re-orders, returns, and order tracking
- Maintain accurate documentation of all customer interactions
- Set up and onboard new designer and small business accounts
Trade Shows & Events
- Coordinate logistics for Las Vegas, High Point, and Buying Group shows
- Order and manage samples, displays, swag, and shipping
- Oversee travel arrangements and booth setup for sales team
- Develop and maintain a consistent trade show process
Retail & B2B Operations
- Set up SKUs, pricing, and product data for retail partners
- Coordinate marketing assets for retailer websites, social, and in-store promotions
- Manage POP materials and store locator updates
- Serve as the internal point of contact for retail account needs and troubleshooting
- Support EDI setup and execution for retail partners
Sales Team Onboarding
- Create a seamless onboarding experience for new sales hires
- Manage procurement of laptops, business cards, and supplies
Website & Software Support
- Assist with product launches on B2B platforms
- Support CRM, MarketTime, and other wholesale software tools
Financial & Reporting
- Collaborate with Accounting on past-due balances, commission tracking, and buying group payments
- Run reports and resolve invoice discrepancies as needed
Qualifications
- 3+ years in an administrative, sales support, or wholesale operations role
- Strong interpersonal skills and ability to work with diverse personalities
- Excellent verbal and written communication
- Highly organized, detail-oriented, and results-driven
- Comfortable working independently and managing multiple priorities
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint), Microsoft Teams, and Google Suite
- Experience with CRM systems, MarketTime, or EDI platforms a plus
