Who We Are
Founded in 1999, Maryland Coalition of Families (MCF) is a statewide nonprofit with a central office in Columbia, Md., and staff located in communities throughout the state. Using personal experience as parents, caregivers, youth, and other loved ones, we connect, support, and empower Maryland’s families. Our staff provide one-to-one support to parents and caregivers of people with mental health, substance use or gambling issues. We also advocate to improve systems that impact individuals with behavioral health challenges.
Note: As Maryland’s family support organization, MCF gives preference amongst equally qualified candidates to those who are primary caregivers of a loved one with behavioral health needs.
General Description: The Program Coordinator will oversee office activities and functions to ensure efficiency and compliance with the program’s goals and organizational policies. The Program Coordinator will provide administrative support across the organization, focusing on the execution of the program’s goals and the management of confidential communications and information. This position is Hybrid (2-3 days in office). This position will report to the Manager of Grants and Community Partners.
Essential Duties and Responsibilities:
Office Administration:
· Directs office activities and functions to maintain efficiency and compliance with organization policies.
· Responds in a timely manner to community requests for information regarding programs and services. Assigns correct personnel for additional follow-up.
· Manages the organization’s main telephone line, email/fax correspondence, and mail distribution, ensuring that sensitive documents are processed promptly.
· Maintains Central Office facility and office equipment, scheduling service as needed and manages offsite storage unit.
· Purchase and maintain inventory of office supplies, printed materials, promotional materials,.
· Provides administrative support to program division to support program operations.
· Manage and maintain inventory of Narcan. Order as needed.
· Collaborate with the IT vendor as needed to assist staff with devices.
· Maintain inventory of all office equipment, IT equipment, and company cell phones.
· Responds to staff needs regarding cell phone issues, processes upgrades/replacements.
· Oversee leases, commercial insurance, and various other vendor relationships.
Provides event support for meetings/trainings such as registrations, travel arrangements, food orders, and preparation of materials.
Human Resources Support:
· Supports Human Resources with preparations for new employee orientation training and onboarding.
· Supports in recruiting Program Staff.
· Manages utilization and maintenance of MCF’s online learning management system, including assigning training to new hires and staff.
· Hold regular meetings with new Program Staff to monitor their progress and provide support.
Executive Director Support:
· Support Executive Director and Board of Directors in scheduling board meetings, distributing board meeting materials, etc.
· Handle highly sensitive executive communications, financial reports, and strategic plans with absolute discretion and professionalism.
· Assists with staff efforts to obtain national Family Peer Support Specialist certification.
· Supporting Family Leadership Program Operations.
Requirements
- Associate degree with a focus in management or business administration. Bachelor’s degree preferred.
- Minimum 2 years’ work experience in an administrative office role preferred.
- Ability to work independently, stay motivated, and meet deadlines without constant supervision.
- Ability to anticipate needs and independently resolve issues that arise.
- Proven ability to manage sensitive information in a professional setting
- Exceptional organizational skills and the ability to manage multiple priorities effectively.
- Excellent verbal and written communication skills to foster collaboration in a remote environment.
- A proactive mindset with a strong focus on inclusivity and creating a positive team culture.
- Advanced skills in Microsoft Office Suite.
Hours/Compensation
- Full-Time/40 hours per week.
- Salary: $47K-$52K annual salary
- MCF provides equipment.
