Summary:

The pathology support specialist II works in coordination with advanced practitioners performing bone marrow procedures in specialized clinics at various locations throughout the practice as well as their supporting medical assistants. They will collaborate with multiple internal departments regarding the review of pathology test orders and bone marrow procedures placed in the EMR to ensure they contain the required information for the proper collection of specimens and submission to the laboratory. They will ensure insurance authorization is in place prior to the subsequent scheduling of procedures and patients.

PRIMARY TASKS AND RESPONSIBILITIES:

  • Runs Sigma reports to obtain daily test and procedure orders. Follows up on incomplete or unsigned orders. Includes continuous analysis of the proper functionality of the Sigma to ensure all orders are captured.
  • Reviews procedure orders in EMR to create and maintain all Bone Marrow Clinic schedules.
  • Reviews the patient’s demographics/insurance to ensure the procedure is approved per FCS contracts.
  • Follow-up and resolve problem orders and any outstanding issues in a timely manner.
  • Responsible to review patients’ chart within the past 30 days to confirm appropriate lab test have been ordered and the results are within proper limits for procedure values. If the patient needs to have additional labs ordered prior to procedure the team member will communicate with APP team to enter order and then follow up with patient to schedule appointment.
  • Is responsible to contact patients to confirm their appointments and provide pre-procedure instruction as well as answer any questions they may have.
  • Will follow up after patients’ procedures for any follow up questions and concerns. 
  • Collaborates with performing APPs and MA support staff to ensure necessary support is maintained for quantity and quality of procedures.
  • Will be the liaison between APPs/MA team and Main Central Pathology lab to resolve any specimen issues, questions or report concerns.
  • Maintains par levels of collection needles, trays, and collection kits ensuring they are available for scheduled procedures, placing procurement orders as necessary.
  • Works as a liaison between the staff pathologists and the staff of the Bone Marrow Clinics, providing real-time feedback to APPs on bone marrow specimen quality issues.
  • Performs assigned administrative and clerical duties associated with the daily processing of test orders that includes professional email and phone communications.
  • Participates in all team related meetings and activities.
  • Maintains records and monthly metrics.
  • Assists in the training of new employees in accordance with department protocols and company guidelines.
  • Complies with quality control policies and procedures to ensure that all aspects of laboratory operations are performed in accordance with accepted standards and applicable laws for clinical laboratories.
  • Assists with additional duties or projects as assigned.
  • Maintains and ensures the confidentiality of all patient information.
  • Comply with all Federal and State laws and regulations pertaining to patient care, patient’s rights, safety, billing, and collections. Adhere to all company and departmental policies and procedures, including IT policies and procedures and Disaster Recovery Plan.
  • Keeps work area in a neat and orderly manner.
  • Maintains all company equipment in a safe and working order.

EDUCATION/CERTIFICATIONS & LICENSES:

  • High School diploma or equivalent

EXPERIENCE:

  • Three (3) years of experience in a healthcare field, clinical or laboratory setting is required.
  • Three (3) years of experience demonstrating insurance knowledge, understanding of medical terminology knowledge required (Pathology terminology preferred).
  • Patient scheduling experience preferred.
  • Lab Information System and Electronic Medical Record experience preferred.
