Proskauer is seeking a highly skilled Immigration and Onboarding Specialist to join our Global HR team. This role will provide end-to-end support for immigration case management, compliance, and advisory services across the U.S. and Europe while also providing support to the Recruiting and HR Administration team. The ideal candidate will bring deep expertise across multiple visa categories and provide a white-glove, concierge-level experience for employees, candidates, and internal stakeholders throughout the recruitment and onboarding process.
Responsibilities
Immigration & Global Mobility
- Partner with external immigration vendors and counsel to initiate, monitor, and manage immigration casework (e.g., J-1, H-1B, TN, OPT, and other visa types).
- Review and approve immigration petitions, ensuring accuracy, completeness, and compliance with applicable laws and regulations.
- Serve as the primary HR subject matter expert for immigration and global mobility inquiries, providing guidance to employees, candidates, and internal stakeholders and ensuring consistent global mobility practices.
- Participate in strategy calls with candidates, employees, recruiting teams, and external vendors to ensure efficient, transparent, and compliant immigration processes.
- Manage I-9 and E-Verify processes for all U.S. hires.
- Maintain accurate immigration files and ensure ongoing I-9 compliance.
- Oversee the physical posting of immigration and labor compliance documents across U.S. offices.
- Ensure compliance with all relevant U.S. and international immigration regulations as well as internal firm policies.
- Coordinate directly with employees and candidates to provide updates, manage expectations, and deliver a seamless immigration experience.
- Monitor case progress and proactively flag potential risks or delays to ensure timely visa issuance.
Recruiting & Onboarding
- Design and deliver engaging new hire orientation programs that introduce Firm policies, culture, and resources in a clear and welcoming environment
- Lead full cycle recruiting efforts by partnering with business leaders to define search strategies, source and assess candidates through multiple channels, and ensure a fair, compliant, and high-quality candidate experience from interview through offer stage.
- Advise managers on development of tailored integration plans for new employees to ensure effective connections with colleagues, firm resources, and critical stakeholders.
- Coordinate logistics for onboarding sessions and equipment setup
- Serve as trusted point of contact for new hires, providing support and guidance throughout the onboarding and integration period.
- Assist in the design, deployment, and analysis of surveys to gather actionable feedback on onboarding and integration experiences, ensuring continuous improvement in related programs.
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field required; advanced degree a plus.
- 5+ years of experience in immigration and global mobility, preferably within a large law firm or multinational corporation.
- Strong knowledge of U.S. immigration processes, including I-9, E-Verify, and case management across visa types (J-1, H-1B, TN, OPT, etc.).
- Familiarity with European immigration processes and compliance requirements strongly preferred.
- Prior experience in a recruiting, human resources administration, or employee relations environment is strongly preferred.
- Exceptional organizational and project management skills with the ability to handle multiple complex cases simultaneously.
- Strong interpersonal skills, with the ability to interact professionally with candidates, employees, counsel, and senior stakeholders.
- Demonstrated ability to provide high-touch, white-glove service in a fast-paced environment.
- High degree of integrity, discretion, and confidentiality.
This position will require physical presence in Proskauer’s offices on a regular basis (at least 3x per week, or more, if it becomes the policy of the Firm or as business needs require). The anticipated compensation for this position is $100,000 -$125,000. The actual salary offered will be based on a number of factors, including but not limited to the qualifications of the applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
