New Freedom’s Human Resources Administrative Assistant provides essential administrative and clerical support to the HR team, contributing to the overall efficiency and responsiveness of the department. This position supports the HR Director, HR Manager, HR Generalist, and HR Coordinator by assisting with document preparation, file maintenance, scheduling, and employee communication. The HR Administrative Assistant plays an important role in ensuring smooth daily operations within a fast-paced behavioral health environment, helping to uphold compliance and support a positive employee experience.
Duties and Responsibilities:
- Administrative Support
- General Support
- Perform general administrative duties such as filing, scanning, copying, data entry; and responding to phone calls, emails, and other HR inquiries, etc.
- Prepare and format HR documents, including letters, memos, reports, and spreadsheets
- Provide coverage of HR open office/support hours
- Manage the HR ticketing system and HR Hub (SharePoint page)
- Process and manage garnishments
- Respond to employment verifications and/or wage audits
- Manage business card ordering for the company
- Benefits Support
- Support other members of the HR team with various administrative aspects of open enrollment, such as preparation, planning, coordination, execution, and any/all required follow-up (i.e., preparing materials, scheduling sessions, reserving rooms, etc.)
- Act as back-up to the HR Coordinator with processing life events, enrollments, and disenrollments in the benefits platform
- Assist with ordering additional benefits guides, resources, materials, and promotional items
- Assist with providing general benefits information and materials to staff, as needed
- Act as a back-up to the HR Coordinator with partnering with benefits vendors to resolve any/all issues or support needs
- Conduct regular audits of the benefits management system to ensure accurate information and data integrity
- Worker’s Compensation Support
- Ensure any/all authorizations and paperwork is completed, obtained, and/or submitted in a timely and thorough manner
- Ensure appropriate and timely follow-up with reports, documentation, results, and/or other information
- Manage the tracking and reporting of any/all accidents and injuries in the appropriate systems, including the consistent tracking and reporting of all accident/injury metrics and KPIs
- Timekeeping and Payroll Processing
- Partner with the HR Coordinator to monitor timekeeping records in real-time, partnering with staff and leaders to resolve any/all follow-up needed
- Ensure appropriate escalation of repeated themes or patterns of timekeeping challenges
- Process various aspects of payroll preparation or processing, as assigned
- General Support
- Recruitment, Onboarding, and Offboarding Support
- Support the HR Coordinator and/or HR Generalist with new hire onboarding processes by helping to prepare new employee paperwork, coordinate New Hire Celebration (orientation) sessions, assist with the facilitation of New Hire Celebration when needed, audit new hire files, and/or assist with employee setup in the designated system(s)
- Act as back-up and support to the HR Coordinator and HR Generalist with all recruitment and onboarding responsibilities, when needed (i.e., posting requisitions, screening candidates, initiating onboarding process, etc.)
- Assist the HR Coordinator and HR Generalist with completing onboarding requirements, coordinating issue of company property, and issuing welcome swag or packages
- Track completion and attendance of New Hire Celebration (orientation), ensuring documentation is saved and attendance is consistently and effectively tracked in Relias LMS
- Support the HR Coordinator and/or HR Generalist with offboarding procedures, such as by conducting exit interviews, coordinating the collection of any/all company property, and providing final pay and benefits information to staff and leaders, as needed
- HRIS and Electronic Systems
- HRIS and Personnel Files
- Provide general support to staff and leaders with the HR Information System, such as by completing password resets; processing direct deposit, tax updates, and demographic updates submitted by staff; and/or other general employee needs
- Submit and manage support tickets through the various systems/platforms used
- Maintain and organize electronic personnel files in accordance with company policies and confidentiality standards
- Process and file uploaded documents
- Assist with the ongoing development and improvement of the HR Information System, as assigned
- Relias Management
- Complete accurate and timely entry of new hires in Relias; update profiles when position/supervisor/department changes occur in a timely manner; and ensure timely disabling of employee access upon leave of absence and/or separation of employment
- Add and edit modules, live sessions, and reports as needed
- Pull monthly Relias reports to be used/compiled with biweekly or monthly credential reports
- Manage and maintain the Relias Learning System setup and data integrity, by completing regular audits of the system/setup and improving the system/setup as needed
- Monitor Relias compliance rates among individual staff, departments, and the company as a whole, effectively partnering with the HR Generalist and HR Manager, as appropriate, to identify and resolve any/all compliance issues, including but not limited to necessary credential suspensions

- Employee Engagement and Support
- Manage employee announcements and other communications
- Manage “Did You Know”, “Known to Me”, and other Disclosures in a timely and effective manner
- Assist with planning, coordinating, and/or facilitating employee appreciation events, All-Team/Town Hall meetings, New Hire Celebration, and other HR events and activities
- Assist with various HR engagement and appreciation events and activities, as assigned
- Manage monthly employee of the month (EOM) and leader of the quarter (LOQ) announcements, nominations, selection, and awards process
- Compliance and Reporting
- Assist with maintaining compliance with all contractual requirements and federal, state, and local employment laws and regulations
- Help to ensure that HR policies and procedures are followed consistently throughout the company
- Generate biweekly credential reports to send to the other members of the HR team for processing and follow-up (to monitor and follow-up on credential compliance)
- Complete internal audits of all new hires, position changes, promotions, transfers, and terminations, verifying accurate and thorough completion of the applicable checklist and ensuring accurate setup
- Provide data and findings on all internal audits completed, ensuring follow-up and follow-thru with any/all identified compliance issues
- Support external audits, by actively preparing for and providing any/all requested documents, as assigned
- Prepare reports, presentations, and other materials for HR meetings, trainings, and/or presentations
- In addition, all other duties as assigned
Work environment and Conditions:
- Primarily onsite, with some hybrid/remote work available (based on company needs)
- Requires occasional travel/driving to other facilities, events, etc.
- Requires regular use of standard office equipment including but not limited to computer-use, phone, desk, chair, etc.
- Requires prolonged periods of sitting, standing, walking, etc.
- Occasional lifting of up to 35 pounds for office, hiring, onboarding, and other event materials
