Pre Summer Responsibilities:


  • Work collaboratively with other Campus Managers to complete assigned goals, tasks, and projects thoroughly and by the target date. 
  • Become an expert on the campus(es) you oversee and the ultimate partner to university contacts and our internal team (i.e. sales, marketing, finance, operations). Serve as the primary liaison between Summer Discovery and your assigned campus(es). 
    • Keep internal stakeholders informed of new developments, current and future challenges, etc.
  • Provide outstanding customer service and support to enrolled students, parents, and university partners throughout the year and ensure they are prepared for summer. 
  • Manage all tasks within the Operations Timeline (Addendum A) on time and with the proper review and approvals. Ensure partners are delivering on their core responsibilities by agreed upon due dates to ensure all parties remain on track.
  • Oversee budgets and financial management for each campus in your assigned portfolio.
  • Build dynamic programming calendars for your campus(es).
    • This includes the booking of activities, special events, and trips.
  • Engage with parents, students, school counselors, and other stakeholders to support achievement of company enrollment targets on branded programs.
    • Oversee campaigns throughout the year to drive applications and enrollments.
    • Contact families who have started an application by phone to support with recruitment efforts for the campus(es) that you are responsible for. 
    • Visit schools and attend fairs and other events in your region to drive brand awareness and leads. Build meaningful relationships within your region that can help drive program interest and enrollment.
  • Assist with Staff Interviews and hiring for your assigned campus(es).
    • Partner with Universities to recruit summer staff on campus throughout the year. 
    • Attend domestic and international hiring fairs.
  • Take ownership of Compliance with Policies and Protocols in your assigned portfolio of campuses.
    • Adhere strictly to all policies and protocols for summer operations as set by the Home Office and comply with the procedures outlined in university contracts. Educate yourself on ACA Standards, local laws, and university policies to ensure they are properly executed. Ensure that campus operations align with these guidelines, encompassing safety protocols, administrative processes, and quality standards.
  • Manage course registration and utilization for your campus(es). 
    • Approve student course selections.
    • Keep a watchful eye on course utilization (inventory) to understand which courses may be full or require additional sales and marketing support. For courses that do require a promotional boost – help to lead the effort.
    • Manage course changes leading up to summer. 
  • Ensure students, parents, and staff are ready for summer.
    • Plan and facilitate Pre-Summer Webinars for students, parents, and staff in the Spring.
    • Manage and update Campus Home Base Pages and Packing Lists
    • Be a main point of contact for program directors, admin, and staff from the moment they are hired to their arrival on campus and for students and parents from the moment they are enrolled.
  • Manage and review seasonal forms for your campus(es).
    • Work with seasonal team members to ensure all student forms have been reviewed before they arrive on campus.
    • Contact families who still need to complete/have outstanding forms.
  • Onboard seasonal leaders for the campuses you are responsible for to ensure a smooth transition from year-round to summer operations.
    • Meet with them frequently to ensure planning remains on track and meeting our standard of excellence.
  • Perform other tasks as directed by Operations Directors.



In Summer Responsibilities:


  • Spend at least 8 weeks during the summer on-campus participating in program operations as assigned.
  • Take on a leadership role on campus to create a high-dynamic and fun environment. Cultivate a lively and engaging campus atmosphere that reflects the program’s values, and when applicable, the dedication of Summer Discovery and its partners with values, brand, and ethos. Infuse every aspect of your role with a strong sense of summer spirit, and support activities that foster student and staff engagement, creating an enriching and memorable experience. 
  • Think outside the box to develop new programming initiatives that will move the program forward and enhance the overall experience.
  • Be a proactive and hands-on leader on campus for students and staff.
  • Supervise and mentor campus staff to ensure they meet performance expectations and effectively contribute to program success. Offer guidance, training, and constructive feedback to maintain high standards of service delivery.
  • Maintain precise records and documentation related to campus operations, including attendance, incident reports, staffing issues, financials, and feedback. Prepare and submit reports as required by the Home Office and other relevant stakeholders.



Post Summer Responsibilities:


  • Close down your assigned summer campus and follow up with seasonal leaders to ensure all End of Summer tasks are completed for their programs. 
  • Complete all End of Summer tasks before leaving campus and check in with any other campuses you are assigned to ensure seasonal directors have completed their task list.
  • Complete all Post-summer tasks, including reviewing student and parent surveys, completing a SWOT analysis, uploading summer photos to our Digital Asset Management system, submitting End-of-summer notes, and beginning to reset for the following summer. 
  • Support Alumni campaigns and outreach. This important follow-up means more from the on-campus directors, who built relationships and memories with their students. 



Qualifications:


  • Minimum Bachelor's degree 
  • Minimum 3+ years of experience 
  • Minimum 3 years of experience in pre-college programs, summer camps, or similar
  • Experience with Google Workspace (Google Drive, Sheets, Forms, etc.) and Microsoft technologies (Outlook, 365, etc.)
  • Knowledge of Salesforce or CRM experience is highly desired
  • Superior English, written and verbal communication skills
  • Ability to work independently in a fast paced, deadline driven environment while efficiently and effectively managing competing priorities.
  • Excellent oral and written communication skills.
  • Strong organizational skills and ability to plan, prioritize, and organize work effectively to produce measurable results.
  • The ability to assess situations accurately and determine appropriate action.
