Job Description Summary 

The Communications & Marketing Specialist is responsible for shaping how Heartlinks tells its story to the community, patients, families, volunteers, and partners. This role ensures consistent branding, proactive outreach, and effective promotion of programs and events while supporting census growth goals. By combining strategy with hands-on content creation, the manager strengthens Heartlinks’ reputation, drives engagement, and highlights the impact of compassionate care across all areas of the organization. 

Essential Job Functions/Responsibilities 

Communication Responsibilities 

  • Develop and implement comprehensive communication and marketing plans for both internal and external stakeholders. 
  • Lead brand strategy, ensuring consistent use of branding, graphics standards, and design principles across all sites, media, and platforms. 
  • Manage Heartlinks’ digital presence, including website content, social media strategy (Heartlinks, Hobs – Prosser, Hobs – Zillah), and email newsletters. Create and post regular content to drive engagement, awareness, and website traffic. 
  • Produce publications and collateral, including newsletters, fundraising and donor materials, event promotions (e.g., Gala, community outreach), and other marketing assets. 
  • Support public relations efforts, including media outreach, press releases, proactive storytelling, and crisis communication planning and response. 
  • Provide communications support for volunteer recruitment, recognition, and storytelling to highlight the impact of volunteers. 
  • Serve as staff photographer/videographer to capture and share stories of patients, families, staff, and volunteers. 
  • Maintain a comprehensive outreach, editorial, and communications calendar to ensure work is planned and completed on schedule. 
  • Assist with internal communications, including maintaining calendars and supporting the Executive Director. 
  • Ensure compliance with HIPAA regulations and protect patient and family confidentiality. 

Marketing Responsibilities 

  • Partner with the leadership team to support achievement of the annual budgeted census and contribute to volume projections in the annual budget. 
  • Conduct ongoing market assessments and develop a comprehensive marketing plan designed to meet budgetary and growth goals. 
  • Build and monitor community, customer, payer, and patient perceptions of Heartlinks as a high-quality provider. 
  • Manage outreach, education, and in-service training for healthcare agencies, facility staff, and the broader community, with emphasis on increasing hospice awareness and usage. 
  • Collaborate with clinical, grief support, volunteer, and development teams to ensure messaging reflects the full breadth of Heartlinks’ mission and services. 
  • Track and report on marketing and communications outcomes using KPIs (social media engagement, web traffic, email performance, referral data, etc.) and recommend adjustments to improve effectiveness. 
  • Prepare and manage the annual communications and marketing budget. 
  • Monitor and report on the cost-effectiveness of marketing initiatives.

Position Qualifications 

  • Bachelor's degree in Marketing, Business Administration, or related field, Masters degree preferred. 
  • At least three years’ experience in health care marketing management, preferably in hospice care operations. 
  • Experience in WordPress, Constant Contact, Little Green Light preferred. 
  • Ability to market aggressively and deal tactfully with customers and the community. 
  • Demonstrates good communication skills, negotiation skills, and public relations skills. 
  • Demonstrates autonomy, organization, assertiveness, flexibility, and cooperation in performing job responsibilities. 

Benefits

  • Full-time employees accrue up to 168 hours of PTO annually, in addition to sick time accrued at the rate of 1 hour for every 40 hours worked. Bereavement and jury duty leave are also available. 
  • Option to enroll in medical, dental, vision, and life insurance. Heartlinks pays for 100% of the employee's medical premiums and 75% of the employee's dental and vision premiums. Health benefits begin the first of the month after the start date. 
  • Miles driven for company purposes are reimbursed.
  • Holiday pay for 6 observed holidays.
  • Ability to enroll in 401(k) and begin contributing at the time of hire. Heartlinks will match up to 5% after one year of employment and 1080 hours worked.

Pay Range: $26.12 - $36.06 hourly

Note: Compensation will be determined based on the candidate’s experience in healthcare marketing, understanding of hospice and palliative care services, educational background, and relevant skills or certifications. This role plays a vital part in communicating our mission and engaging the communities we serve.
