SUMMARY:

Reporting to the Accounts Payable Manager within the Treasury Operations organization, the Accounts Payable Associate will engage in a variety of payables and mailroom related activities in support of the invoice payment processes and incoming/outgoing mail processing needs of the business. In this role, the Accounts Payable Associate will partner with internal business stakeholders and external vendors to lead mailroom activities, while also serving as the invoice processing lead for a number of vendor accounts.

 

In this role, the Accounts Payable Associate will lead all mailroom related items. The Accounts Payable Associated will process incoming and outgoing mail, including mailing checks and managing expedited delivery needs (i.e. FedEx), and will open, sort, and deliver incoming mail to the appropriate person within the business. The Accounts Payable Associate will assist staff in copying, assembly, and binding of documents (i.e., requested packages, manuals and reports) produced on the digital copiers.

 

In this role the Accounts Payable Associated will take a lead role in the reconciliation and invoice processing for a number of vendor accounts. The Accounts Payable Associate will ensure accurate and timely processing of vendor invoices and will partner with the vendor's receivables and accounting departments to reconcile invoice statements and ensure payments are completed on time and in full. The Accounts Payable Associate will evaluate each assigned vendor account and make recommendations to the AP Manager on opportunities to leverage existing systems and automation to streamline invoice processing.

 

ROLE OBJECTIVES:

Receive and Sort Mail:

  • Collect and sort incoming mail and packages from postal services, couriers, and interoffice deliveries.
  • Inspect packages and mail for damage and report any issues to the supervisor.
  • Sort mail and packages according to departments, locations, or personnel.

Distribute Mail and Packages:

  • Deliver sorted mail and packages to the appropriate departments or individuals promptly.
  • Maintain accurate records of incoming and outgoing deliveries.
  • Use mailcarts or other equipment to transport mail and packages within the building.

Handle Outgoing Mail:

  • Prepare and package outgoing mail and deliveries.
  • Affix proper postage and ensure timely dispatch through postal services or courier companies.
  • Track and document outgoing shipments for accountability.

Maintain Mailroom Operations:

  • Keep the mailroom clean, organized, and well-stocked with necessary supplies (e.g., envelopes, stamps, labels).
  • Operate mailroom equipment such as postage meters, scanners, and copiers.
  • Perform routine maintenance on mailroom equipment and report any malfunctions or needs for repairs.

Support Invoice Processing:

  • Review, verify, and process invoices and expense reports.
  • Match purchase orders to invoices and ensure proper authorization.
  • Reconcile vendor statements and coordinate with vendor's receivables department.
  • Monitor multiple email inboxes, triaging inquiries and errors as needed.

AD HOC DUTIES:

  • Attend meetings and represent the department as the in-house liaison for mailroom vendor information.
  • Make recommendations for process improvements related to mailroom activities and invoice processing.
  • Complete testing in ERP and subsystems for system upgrades, enhancements, and migrations.
  • Create and resolve tickets related to vendor invoicing issues.
KEY RELATIONSHIPS:
Internal employees, particularly finance and sourcing organizations, and external vendors.

 

ADDITIONAL DETAILS:

This position works in a high volume, fast-paced department within Associated Materials. The ideal candidate must be a fast learner with attention to detail and strong written and verbal communication skills. The candidate will often be required to multitask and must be able to transition between tasks effectively as real-time support is required.

This position is a full-time salaried role based out of the corporate offices in Cuyahoga Falls, OH with a minimum in-person requirement of 3 days per week.
