As a 501(c) (3) national non-profit organization, JBF brings its mission to life through the annual James Beard Awards, industry and community-focused initiatives and programs, advocacy, partnerships, and events across the country.  

 

The Freelance Box Office Specialist, JBF at Pier 57, is an integral part of the Pier 57 team. This position will be responsible for managing all emails and client relationships, open/close inventory, confirming reservations in the days prior to events, exporting final guest lists for use day-of, and reconciling event support with the finance team after programming concludes. The Freelance Box Office Specialist will report to the VP of Operations and Property. 

 

This role is virtual with an option to work in the JBF Office in New York City on Tue and/or Wed if interested. Due to our schedule of events and when emails arrive, weekend work may be required.  

 

Responsibilities 

  • Manage the box office for all JBF programs and events at Platform in Pier 57
  • In collaboration with software partners, Squad up, Open Table, and Seven Rooms, create event pages and build ticket levels for Pier 57 programs and events
  • Tracking and moving reservations back and forth between Squad Up, Open Table and Seven Rooms
  • Monitor sales and reservations on internal and external platforms all upcoming events via Open Table, Seven Rooms and Squad Up
  • Pull ticket reports on all platforms as needed
  • Serve as point of contact emails to respond to all guest questions 
  • Create final guest list and work with event managers on program and event seating
  • Support event managers with guest-related needs such as seating preferences and dietary restrictions

 

Qualifications: 

To be effective in this role, key core competencies and personal characteristics include: 

  • Minimum of 2- 3 years of experience working in events and reservations and box office functions.
  • Experience working with ticketing or reservations systems (SquadUp, Open Table, Seven Rooms, experience a plus)
  • Customer service, hospitality experience, or guest service experience
  • Strong organizational, communication, and people skills
  • Ability to thrive in a dynamic work environment
  • A keen attention to detail and conscientious work ethic
  • Proficiency in MS Office; Excel, PowerPoint, and Word, CRM systems (preferable Salesforce), and Adobe Acrobat Pro
  • High energy and passion for the James Beard Foundation’s mission
