The Warehouse Supervisor performs duties associated with coordinating imports and exports. Supervises and assists Logistics staff in the execution and performance of daily duties, sets goals and objectives, and ensures department staff operate in conformity with all Safety, Regulatory, and AURA standards.

Essential Functions

  • Oversees local receiving, warehousing, and distribution operations. This includes initiating, coordinating, and enforcing program, operational, and personnel policies and procedures. Meets operational requirements, follows up on work results, and completes related tasks.
  • Ensures compliance with federal, state, and local warehousing, material handling, and shipping requirements. This involves studying existing and new legislation, enforcing adherence, and advising management on necessary actions.
  • Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.
  • Maintains high internal customer satisfaction and prioritizes competing deadlines.
  • Submits claims for damaged materials, loss, or billing discrepancies.
  • Safeguards warehouse by monitoring security procedures and protocols. Maintains the warehouse's physical condition by inspecting equipment and issuing work orders for repair.
  • Maintains department results by coaching, counseling, and disciplining employees, and by planning, monitoring, and appraising job results.
  • Oversees and prepares all necessary import/export documents. This includes filing AES, obtaining CARNETs, preparing hazardous declarations, procuring quotes, and scheduling international shipments in accordance with regulatory and company standards.
  • Calculates customs duties, taxes, and tariffs upon request. Works with internal and external customers to verify incoterms, insurance, and customs formalities.
  • Operates and maintains all tools, machinery, forklifts, and delivery vehicles safely and professionally.
  • Works with Logistics Manager, Property Administrators, and Project Managers in the event of special shipping of oversized freight, charter arrangements, or licensed materials.
  • All AURA employees are responsible for the proper management and control of all AURA property within their work area, whether assigned to them or someone else. This responsibility includes reporting any known missing, stolen, or non-working property in their work area to their supervisor or the AURA Property Officer.
  • Responsible for ensuring compliance with government award terms and conditions assigned to this position or subordinates of this position.

Requirements

  • Associates degree or equivalent experience.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Must possess previous experience shipping Hazardous Materials with certification (DOT, IMDG, and IATA).
  • Must possess or obtain Forklift, IATA, DOT, and AES certificates.
  • Previous supervisor experience, ability to understand deadlines, work under minimal supervision, and have excellent people skills.
  • Continues export compliance education and possesses general knowledge of BIS, OFAC, and DDTC regulations.
  • Must wear provided steel-toed safety shoes and uniform shirt during working hours.
  • Valid Arizona State driver’s license with no restrictions and ability to obtain a valid GSA driving permit.
  • Forklift experience and or class C CDL with HazMat Endorsement.

Work Environment

This position operates in a professional office environment handling and operating a variety of tools and machinery. Regularly works in outside conditions that may include inclement weather, heat, and humidity. The work environment may have exposure to loud sounds and involves working in close proximity to others.

  • Must be able to remain in a stationary position at least 50% of the time.
  • Constant need to move about inside the office environment to move objects, service machinery, and conduct maintenance services.
  • Occasionally operates a computer and other office productivity tools that require fine motor skills, such as a calculator, copy machine, computer printer, etc.
  • Constant need to position self to maintain building-specific machinery (including boilers) as well as general office tools.
  • Frequently moves equipment weighing up to 50 pounds throughout office locations.
  • Constant communication with other individuals. Must be able to discern and exchange information as appropriate to the situation.
  • Constant need to distinguish, discern, and identify a variety of objects and details with accuracy.
  • Some travel may be necessary in or outside the contiguous United States including travel to the various observatory sites (Arizona, Chile and Hawai`i).
