Position: Executive Assistant
Department: Executive
Reports to: High-net-worth individual
Salary Type: Exempt
POSITION SUMMARY: The Executive Assistant supports a high-net-worth individual, their extended family, and business operations, providing comprehensive personal, household, and executive support. The ideal candidate is exceptionally organized, discreet, and adaptable, with the ability to manage complex schedules and shifting priorities across multiple domains.
ESSENTIAL FUNCTIONS OF THE EXECUTIVE ASSISTANT INCLUDE, BUT ARE NOT LIMITED TO:
PERSONAL & FAMILY SUPPORT
- Coordinate all personal travel arrangements including private jet scheduling, commercial bookings, and ground transportation.
- Act as liaison between the principal/family and private aviation, drivers, hospitality partners, and household staff.
- Assist with daily errands, personal shopping, gift sourcing, and special requests.
- Make reservations for high-end restaurants, entertainment, and events.
- Provide basic tech and device support to the principal and family members (e.g., troubleshooting, logins).
- Handle personal appointments and calendar management for family members.
- Pay personal bills, manage household/vendor invoices, and track expenses as needed.
- Maintain strict confidentiality and handle sensitive personal matters with discretion.
HOUSEHOLD MANAGEMENT
- Manage household calendars and appointments across multiple properties (domestic and international).
- Coordinate with vendors, contractors, and service providers for repairs, installations, and ongoing maintenance.
- Support household staff with inventory, supply ordering, and in-store pickups.
- Oversee household vehicle needs including maintenance scheduling, DMV renewals, smog checks, and registration.
- Ensure smooth transitions and service continuity across different residences.
- Direct household staff, including drivers, housekeepers, and maintenance teams, as needed.
BUSINESS & EXECUTIVE SUPPORT
- Provide high-level administrative support to the high-net-worth individual, including managing their business calendar, scheduling meetings, and organizing events.
- Act as the central point of communication between the principal and key personnel across multiple businesses, ensuring alignment on priorities and timely follow-through.
- Coordinate all business and personal travel, including flights, accommodations, and itineraries.
- Conduct research and prepare reports, presentations, and briefing documents ahead of meetings.
- Make arrangements for business guests, clients, and VIPs on behalf of the principal.
- Manage business-related correspondence: open, sort, and respond to mail and emails as needed.
- Reconcile and submit receipts for company credit card transactions.
- Update ticket pricing across platforms (UrVenue, Wantickets, Ticketmaster) and distribute ticket sales data to senior management daily.
- Coordinate talent travel and logistics via private or commercial means.
- Perform general office duties including supply ordering and equipment maintenance.
- Serve as a backup assistant to additional senior leadership as needed.

EDUCATION / REQUIREMENTS:
- Proof of eligibility to work in the United States
- 21+ years of age
- Must have a valid driver’s license and access to reliable transportation.
- College Degree preferred
- Previous experience in a personal assistant, executive support, or high-touch service role is preferred.
- Proficient in Windows Office, Microsoft Office

- Must be able to lift up to 50 lbs and push/pull up to 150 lbs.
