JOB SPECIFICATION

POSITION: Grants Manager

DEPARTMENT: Finance  

LOCATION: Remote        

REPORTS TO: Director of Grants Management

FLSA STATUS: Exempt, Full-time ($65,000-75,000)

 

This position is a five-year grant funded role, funded through September 30, 2030. Continuation of the position is contingent upon grant funding and will conclude when funding for the grant ends or at the end of the grant period.

 

Position Summary

The Grants Manager will be responsible for the full lifecycle management of all Arizona state and federal grants, including but not limited to ESEA (Title I, II, III, IV), IDEA-B, and all other grants administered through the Arizona Department of Education (ADE). This role ensures compliance with all applicable federal and state regulations, manages reporting and documentation, and supports the strategic use of grant funding to advance Great Hearts’ educational mission. The Grants Manager collaborates closely with school leaders, the finance team, and instructional leadership to develop grant applications, monitor expenditures, and align grant-funded initiatives with organizational goals. This position also serves as the primary liaison between Great Hearts and ADE grant program officers, ensuring timely submissions, accurate reimbursements, and ongoing compliance with fiscal and programmatic requirements. Key responsibilities include grant writing, budget development and tracking, compliance monitoring, audit preparation, and submission of required reports and amendments. The Grants Manager plays a critical role in maximizing available funding while maintaining the highest standards of integrity and accountability.

 

 

Duties and Responsibilities

  • Manage the full lifecycle of federal and state grants awarded through ADE (e.g., Title I, II, III, IV, IDEA, etc.)

  • Monitor grant expenditures to ensure alignment with approved budgets and program goals.

  • Maintain detailed records and documentation for audits, monitoring visits, and financial reviews.

  • Coordinate with internal headmasters to ensure grant activities meet performance and reporting requirements.

  • Develop, submit, and revise grant budgets in collaboration with school leaders, finance, and academic teams.

  • Track expenditures and encumbrances; work with the finance department to ensure accurate coding, invoicing, and timely reimbursement through the ADE Grants Management System (GME).

  •  Prepare budget amendments and reallocations as needed based on programmatic changes or updated guidance.

  • Lead or support the preparation and submission of grant applications, renewals, and performance reports through ADE's GME portal.

  • Research new funding opportunities aligned with Great Hearts’ strategic priorities and educational model.

  • Prepare and submit required progress and final reports to ADE and other granting agencies.

  •  Serve as the point of contact for all ADE grant-related communications and updates.

  • Attend ADE trainings, webinars, and meetings to stay current on policy changes and best practices.

  • Support ADE programmatic and fiscal monitoring reviews, including document preparation and on-site visit coordination.

  •  Address any findings or corrective actions in a timely and thorough manner.

 

 

 

Qualifications, Competencies, and Strengths

Education/Certification: Bachelor’s degree in accounting, finance or related field at minimum.

Experience: At minimum, two years of accounting/finance work experience. Experience in education preferred.

  • Commitment to the philosophy and mission of Great Hearts.

  • Superior written and verbal communication skills; oriented towards detail, thoroughness, and accuracy.

  • Proficient with Microsoft Excel, Word and PowerPoint.

  • Experience with Blackbaud Financial Edge and Raiser’s Edge Software

  • Self-starter with the ability to work in a fast-paced and deadline-oriented environment.

  • Ability to develop positive and professional relationships with team members.

  • Advanced proficiency with Microsoft Excel, Word and PowerPoint; Blackbaud Financial Edge system experience a plus

  • Provide excellent customer service and maintain confidentiality and professionalism at all times.

 

Additional Requirements

Type of fingerprint clearance: Must possess or obtain valid Arizona Department of Public Safety fingerprint clearance card.

 

Travel required: May need to travel locally to the various academies within the Phoenix metro area.
