SUMMARY/PURPOSE

The Healthcare Placement Specialist is responsible for securing successful job placements for graduates of our Healthcare Programs: Medical Administrative Assistant and Unlicensed Dental Assistant. Key responsibilities include:

  • Industry cold calling.
  • Employer research and identifying entry-level employer partners.
  • Building and maintaining a list of potential employer partners.
  • Collaborating with employer partners to understand hiring and recruitment processes.
  • Conducting job matching, aligning workforce-ready graduates with available opportunities, and coordinating closely with the Workforce Readiness Specialists housed in Education and Training.

The Placement Specialist coordinates interviews, collaborates with HR representatives and talent acquisition teams, and ensures exceptional customer service through prompt follow-ups. Tracking and documenting activities in Summit’s preferred CRM system is critical. The role includes job retention follow-up and requires measurable results, reporting to the Director of Workforce Solutions.

The Placement Specialist also works closely with Workforce Readiness Specialists, particularly for students meeting work readiness criteria. This individual plays a key role in coordinating hiring fairs and ensuring successful outcomes. Attention to detail, professional communication, and outstanding customer service are essential.

ESSENTIAL FUNCTIONS

 Employer Outreach and Relationship Building:

  • Identify and reach out to potential employers in high-demand industries through cold calling and networking.
  • Develop and maintain relationships with employers, targeting HR and talent acquisition teams to understand hiring needs and processes and allow for continued partnerships. 
  • Conduct market research to identify top hiring employers in key industries. Prepare weekly/monthly status reports and share findings with the Workforce Solutions team.
  • Attend industry events and employer engagements to expand Summit’s network.
  • Demonstrate outstanding customer service and effective follow-up in all communications.
  • Collaborate with the Volunteer Engagement Specialist to acquire guest speakers.

 Job Matching and Placement:

  • Match qualified candidates with entry-level job openings, coordinating resumes and scheduling interviews.
  • Guide candidates throughout the process, ensuring they are interview-ready.
  • Ensure timely communication during the interview and hiring process.
  • Follow up with candidates post-interview to provide feedback and next steps.
  • Track candidate progress and status in the recruitment pipeline.  
  • Ongoing and proactive follow-up with employers, documenting all activities (phone calls, emails, etc.) 

 Data Tracking and Reporting 

  • Maintain accurate records of employer interactions, student placements, and graduate job retention. 
  • Prepare and present reports on placement metrics, employer engagement, and job retention.
  • Maintain a clean and organized database of employers and placed candidates.  Ensure accuracy at all times. 
  • Collect and analyze data on placement success rates and recruitment effectiveness. Propose recommendations. 

 Administrative Duties and Event Planning 

  • Coordinate all administrative functions to support employer communications, follow-up, and student placement. 
  • Responsible for all coordination and successful execution of hiring fairs, in coordination with colleagues and guidance from the Workforce Solutions Manager.   
  • Ensure a successful employer and student/graduate experience at all times. 
  • Manage all administrative duties as assigned by the workforce solutions team. 

KNOWLEDGE, SKILLS, AND ABILITIES

  • Demonstrated ability to apply core concepts to the workplace environment as well as make connections to the Healthcare Industry, specifically Medical Administrative Assistant and Unlicensed Dental Assistant industries.
  • Strong decision-making, problem-solving, time management, and stress management skills
  • Knowledge of the Healthcare industry, specifically Medical Administrative Assistant and Unlicensed Dental Assistant.
  • Ability to teach individuals of diverse backgrounds and varying abilities.
  • Strong classroom management and communication skills (written, oral, interpersonal, and presentation), both in-person and virtually.
  • Decision-making, problem-solving, and time management skills.
  • Ability to work in a fast-paced environment and collaborate as part of a team.

WORK ENVIRONMENT

This job operates in a professional school setting, which requires employees to maintain a professional appearance and attitude. The work environment is fast-paced, requiring effective time management and prioritization of job duties.

PHYSICAL DEMANDS

Presentations, computer work, and some filing are required. This would require the ability to lift files, open filing cabinets, use keyboarding skills, and bend or stand as necessary.

POSITION TYPE AND EXPECTED HOURS OF WORK

This is a full-time, exempt position under the Fair Labor Standards Act (FLSA). It is not eligible for overtime. Work hours will be between 8:00 a.m. – 5:00 p.m., Monday through Friday. Specific schedules will be discussed with the Director of Workforce Solutions. Night and weekend work may be required to meet the expectations of the position.

TRAVEL

This position requires minimal local travel. 

REQUIRED EDUCATION & EXPERIENCE

  • Bachelor’s or Associate's degree in HR, Marketing, and/or Communications, Business Development, or related field.
  • Two years of full-time professional experience in a teaching, training, or customer service role.
  • Exceptional organizational skills and attention to detail.
  • Strong sales-oriented approach with excellent negotiation and communication skills.
  • Self-motivated and results-oriented with a passion for helping individuals succeed in their careers.
  • Strong interpersonal skills and the ability to work collaboratively with diverse stakeholders.
  • Flexibility and adaptability to navigate a dynamic work environment.

PREFERRED EDUCATION & EXPERIENCE

  • Three years of experience in job placement, recruitment, or workforce development, preferably with a staffing firm or in a workforce training environment.
  • Strong understanding of the job market and workforce development strategies, particularly for entry-level positions.
  • Excellent communication, networking, and interpersonal skills.
  • Proven ability to build and maintain relationships with employers.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities effectively.
  • Familiarity with applicant tracking systems and job placement software
