POSITION TITLE: Administrative Assistant

POSITION TYPE: Full-Time

REPORTS TO: Human Resource Manager

POSITION SUMMARY:

The Office Administrator supports the Novo Health Services team in their day-to-day administrative and office needs as a Coordinator, Event Manager, Community Liaison, and ‘go-to’ person to make things happen. This role serves as the on-site and virtual presence for the office, managing billing, invoicing, contracting, office space, local payroll processing, issuing corrective actions, and organizing events. Advanced proficiency in Microsoft Excel is essential for this role, including the ability to create and manage spreadsheets, perform data analysis, generate reports, and utilize formulas, pivot tables, and charts to support operational and HR functions.

ESSENTIAL FUNCTIONS:

  • Maintain office services by organizing operations and procedures, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and overseeing clerical functions.

  • Ensure office efficiency through planning and implementing systems, layouts, and equipment procurement.

  • Keep management informed by analyzing reports, summarizing data, and identifying trends using Excel.

  • Maintain and process linen billing using the ABS system; generate and track billing reports in Excel.

  • Process purchase orders using the SAGE system; reconcile and report expenditures in Excel.

  • Input work orders for damaged or leased equipment in the appropriate system.

  • Assist customers with concerns about shortages or missed deliveries.

  • Manage office supply ordering and coordinate facility events.

  • Record and update employee timekeeping data; maintain attendance records using Excel.

  • Support recruiting efforts to ensure optimal staffing levels.

  • Conduct new employee orientations and onboarding.

  • Ensure Form I-9 and E-Verify compliance for all employees.

  • Provide HR reports and analytics upon request using Excel.

  • Translate and communicate company policies to employees.

  • Assist managers in documenting disciplinary actions and terminations.

  • Maintain and update the facility’s attendance database.

  • Observe and adhere to all safety procedures and policies.

  • Perform other duties as assigned.

QUALIFICATIONS:

  • High school diploma required; Associate’s degree or higher preferred.

  • 1–2 years of HR assistant or administrative experience preferred.

  • Proficient in Microsoft Excel, including formulas, pivot tables, charts, and data analysis.

  • Familiarity with HR procedures, recruitment processes, and timekeeping systems.

  • Strong work ethic, initiative, and commitment to quality and customer service.

  • Excellent communication, empathy, and problem-solving skills.

  • Ability to manage multiple priorities, work under pressure, and support team collaboration.

  • Strong organizational skills and attention to detail.
