Job Description:Primary Function of Position
The Legal Assistant (Global Privacy) will support the international operations of a high growth leader in the medical device industry and will be part of the Privacy Legal team, driving legal excellence in commercial operations. In this role you will actively support and help ensure the effective and efficient functioning of the Privacy Legal team. Reports to Vice President, Privacy & Data Protection.
Roles and Responsibilities
- Organize, maintain, and update legal files and contracts, both hard copy and in an electronic database
- Prepare and draft the meeting minutes and/or summary of action plans for the meetings hosted by the Privacy team
- Assist with special projects and coordinate department activities
- Maintain the confidentiality of all matters within the department
- Drive the submission and release of legal documents and training modules in accordance with Quality Systems and other company requirements
- Provide administrative support to the Global Privacy Legal team, such as by serving as the contact for various other departments or for various legal responsibilities; coordinating meetings and preparing meeting materials; researching, organizing, and filing legal documents; gathering information from different company functions, and the like
- Coordinate travel arrangements (may include booking flights, hotel and ground accommodations)
- Create, submit and manage expense reports through the concur system
- Process purchase orders, expense reimbursement and check requests through Coupa
- Assist in ad-hoc projects within the Legal Department and/or other duties as assigned
- Support or lead special projects as assigned
Required Skills and Experience
- Minimum 4 years of experience in a legal or medical device setting; 6+ years preferred
- Must have at least 5 years as a paralegal in a multinational company or law firm
- Self-starter capable of working independently and gauging when to request guidance
- Excellent interpersonal skills. Fosters a collaborative culture and thrives in a team environment
- Strong critical thinking, problem-solving, and organizational skills. Excellent attention to detail
- Able to deftly juggle multiple simultaneous tasks in a dynamic, high-energy environment
- Desire to develop a solid understanding of laws, regulations, and legal processes
- Familiarity with procurement systems (such as ARIBA) and e-billing systems
- Excellent verbal and written communication skills
- Proactive and ability to work independently
- This role requires working onsite in our Sunnyvale, CA office Tuesday, Wednesday, and Thursday every week
Required Education and Training
High school diploma or equivalent required; associate’s, bachelor’s degree, or paralegal certificate preferred
Preferred Qualifications
- Experience in Data Privacy and/or healthcare compliance role and working knowledge of legal terms preferred
