We are looking for an Assistant Office Services Manager to support our Business Unit. You will be responsible for the administration of activities assigned by the Senior Office Services Manager . You will perform and manage tasks requiring knowledge of Microsoft Office applications and familiarity with formats and forms used by the company, and you should have strong organizational skills and the ability to manage multiple deadlines. You will report to the Senior Office Services Manager. You may work a hybrid schedule and report to our Winchester, VA office.
How you can make an impact:- Add clients, projects and billing terms to Vision Vantagepoint.
- Review Timesheets and Expense Sheet batches.
- Prepare, log, upload, and track monthly client invoices.
- Accounts Receivable follow-up (sending statements, providing AR reports to Project Managers, assisting clients with questions and requests for copies of invoices).
- Reconcile monthly credit card bill.
- Assist with new hire orientation and training on Time and Expense sheet preparation.
- Assist Project Managers with Client Purchase Order tracking and other requests.
- Assist Project Managers with Vantagepoint reports.
- Provide As-Needed support as directed by Senior Staff.
- May also include planning special lunches, holiday party, office parties.
- AA or BA/BS degree preferred.
- Minimum of 5 years of office experience including preparation of client invoices required.
- Strong computer-Microsoft Office skills required.
- Relevant billing and accounting experience required.
- Must be able to work independently as well as part of the team and provide guidance to others.
