This Police Records Technician I is an entry-level position assigned to work within the police department setting, either in records or detective's bureau. Under supervision, process, maintain, and update police records and reports, research records and provide requested information to law enforcement personnel and the public as appropriate, type crime reports which may contain extremely unpleasant or offensive material, maintain the confidentiality of highly sensitive information in strict compliance with established codes, rules, regulations, and perform related work as required.
EXAMINATION PROCESS: Based upon screening of the City application, résumé, and responses to supplemental questions, applicants whose qualifications best meet the requirements of the position will be invited to the examination process. This process may include, but is not limited to written examination, panel interview and/or performance examination, which consists of an evaluation of some of the essential knowledge, skills, abilities, and job-related experience listed below. Those candidates who pass the examination process are placed on an eligibility list from which the final selection will be made.
SELECTION PROCESS: As authorized by City policy, applicants being considered for hire in this position are subject to fingerprinting for purposes of investigating criminal history background, as part of the employment screening process. Appointment is subject to successful completion of a pre-employment medical examination (based upon job-related physical standards) by a City-designated physician.
Failure in any one part of the examination or selection processes will disqualify a candidate from further consideration.
Position Duties
The following duties are typical of this classification. Incumbents may not perform all of the duties and/or may be required to perform specific additional or different duties from those set forth below to address business needs and changing business practices.
Learns department and City policies and procedures; types/processes, distributes, and files arrest, crime, disposition, and other reports and documents as appropriate; types arrest, crime, and other reports from taped dictation and/or rough copies; assures accurate spelling, proper punctuation, and grammar; operates computer terminals to query, enter, and update a variety of information in the local, State, and national systems; copies and releases requested reports or information in compliance with the Public Records Act and departmental procedures; makes and labels copies; accepts and provides receipts for fees; prepares daily receipts report; receives and records telephone calls and routes messages or calls to appropriate sources; receive callers in person and provides counter assistance to the public, providing a variety of information regarding services, permits, and release of records; assists with office support by filing and indexing materials alphabetically and numerically; conducts simple file and record searches; compiles and maintains data for record-keeping purposes, logging information; performs basic mathematical computations for record-keeping purposes; provides fingerprinting and/or computer generated Live Scan for the public and arson, narcotic, and sex registrants; processes and submits applicant and registrant fingerprint cards to the Department of Justice; performs validation of records entered in the NCIC computerized system; may occasionally drive to meetings, training seminars, or to deliver materials to other locations as necessary; and performs other related duties as assigned.
ALLOCATION FACTORS:Volume and difficulty of assignments, public contact and department operations; exercise of independent judgment and decision-making; level of clerical skill utilized; consequences of decisions made. These positions are flexibly staffed and incumbents at level I are eligible for consideration of advancement to level II after completion of two (2) years in their current assignment and satisfactory performance, attainment and demonstration of the requisite knowledge, skills, and abilities, and/or required certification.

Minimum Qualifications
Include any combination of training, education and experience which demonstrates an ability to perform the duties of the position. The typical qualifying entrance background is:
EDUCATION and EXPERIENCE: High school diploma or G.E.D AND one (1) year of responsible clerical and/or office experience.
LICENSE/CERTIFICATION REQUIRED: Possession of a valid and appropriate California Driver's License may be required of some positions in this class. Typing certificate must show a speed of a minimum of 45 net words per minute. For more information on typing certificate requirements click here.

ENVIRONMENTAL CONDITIONS: Constantly works indoors. On rare occasion works outdoors. Frequent use of a personal computer, telephone, fax, copy machines and other office equipment. Occasionally drives motor vehicles. Works both alone and with others.
