Reporting to: The Head of Auctions – Senior Auction Specialist

 

The Role in a Nutshell:

Berry Bros & Rudd (BB&R) is expanding its auction business and is recruiting an Auction Coordinator to own the operational execution of sales in this exciting new growth channel. This dynamic role is ideal for a candidate who thrives in a fast-paced environment, enjoys multi-tasking and organisational tasks, and is able to be flexible and re-prioritise, whilst coordinating all key processes leading up to the sales.

 

Purpose of the Role:

The Auction Coordinator ensures that everything runs smoothly before, during, and after wine and spirits auctions, while delivering exceptional client service. The role covers a range of activities, from logistics and client service to administrative tasks.

 

Working with:

Head of Auctions, Senior Specialist; Goods In, Business Support; Operations & Logistics, Marketing, Events.

 

What will you do?

  • Manage the daily administration of BB&R’s UK auctions, liaising with both external and internal stakeholders, as well as providing support to new projects and initiatives.
  • Oversee pre- and post-sale auction processes, including creating pricing and proposals for clients, managing consignment agreements, data entry, and client communication.
  • Manage all matters relating to auction consignment agreements, ensuring legal compliance and accuracy.
  • Maintain comprehensive auction files including consignor records and sales documentation.
  • Manage sales reserves and any post-sale adjustments.
  • Work with BB&R’s Data & Insights team to compile auction results and reports, ensuring accuracy and timely distribution to internal stakeholders.
  • Serve as a primary point of contact for clients throughout the consignment process, addressing enquiries and resolving issues, ensuring high levels of satisfaction.
  • Provide clients with pre- and post-sale documentation and updates on their consignments.
  • Work with BB&R’s Credit Control Team to ensure that appropriate compliance processes are completed in a timely manner.
  • Liaise with clients, third-party storage providers, shipping coordinators, and BB&R’s global offices to manage inbound shipments in line with catalogue deadlines.
  • Work with BB&R’s Shipping and Logistics teams to coordinate movement of property internally and externally, including to third-party services.
  • Support BB&R’s Quality & Authentication Team to assist with property inspections at the warehouse and client premises.
  • Work with BB&R’s Warehouse Team to manage photography for auction catalogues and promotional materials.
  • Work with BB&R’s Operations Team to ensure smooth logistical workflows.
  • Work with Business Support Team to manage post-sales transferral of stock into Customers’ Private Reserves.
  • Organise and support events, including liaising with BB&R’s Events Team, managing guest lists, and coordinating menus and dietary requirements.

 

What will you bring to the role?

  • Minimum 1 years’ experience in business administration or client services.
  • Excellent client service, with strong verbal and written communication skills. Experience in legal, finance, or project management preferred.
  • Technologically savvy with an operational mindset. Ability to prioritise, multitask, and meet tight deadlines.
  • Creative problem solver who performs well under pressure.
  • Highly organised with strong attention to detail.
  • Self-motivated and able to work independently or as part of a team.
  • Proficient in Microsoft Office; SAP experience a plus.
  • Strong interest in wine and spirits preferred.
