A Day in the Life
The Loan Administration Manager I - Processing oversees the full lifecycle of loan processing administration, ensuring accurate, efficient, and compliant loan fulfillment. This role will collaborate with cross-functional partners within Sales, Underwriting, Closing, Compliance, Technology, and Risk departments to drive operational excellence, support regulatory compliance, and streamline workflows using modern systems and automation tools. This individual will champion opportunities to enhance the borrower and Lendistry user experience by leveraging automation, workflow optimization, predictive analytics, and digital self-service tools. They will continuously evaluate tech-enabled solutions to improve turnaround times, increase transparency, and reduce risk through the integration of data-driven decision-making. Some travel may be required.

What You’ll Be Doing
Operational Oversight
- Support the productivity of daily operations of the fulfillment processing team.
- Champion a culture of excellence, accountability, and continuous improvement, setting clear performance standards, and ensuring team alignment with organizational goals
- Lead the adoption of loan origination technology, SalesForce enhancements, robotic process automation (RPA), optical character recognition (OCR), and API-driven integrations to optimize operations, reduce manual errors, and improve cycle times.
- Ensure:
- Documents required from customers and third parties are requested within required timeframe, followed up on regularly and obtained timely through continual outreach, develop and maintain systemized notifications along with Lendistry borrower portal.
- Defined processes and procedures are adhered to consistently, developed and supported by digital workflows and system alerts.
- Workloads are balanced to maximize productivity and drive loan pipeline progress, using real-time dashboard monitoring and analytics.
- Loan systems are properly updated through the course of loan processing to accurately reflect customer information and all activities performed, with systemized audit trails.
- New loans are fully documented as required by credit guidelines prior to submission to underwriting for decision.
Customer Service & Relationship Management
- Support customer interactions related to loan administration, ensuring timely and accurate resolution of inquiries and concerns through omnichannel borrower support tools (chat, phone, email, and digital portals).
- Support the creation and evolution of resolution processes with AI-enabled knowledge bases and systemized case routing.
- Coordinate with third-party vendors (e.g., insurance agents, contractors, escrow and title companies) as needed to support loan processing requirements using secure digital integrations and vendor portals.
Team Leadership & Development
- Lead, coach, and mentor team members to ensure high performance and continuous development.
- Conduct regular performance reviews, provide feedback, and support professional growth, enhanced with performance analytics dashboards.
- Manage staffing needs, including hiring, onboarding, training, and succession planning with a focus on digital skills and technology adoption.
Regulatory Compliance & Risk Management
- Ensure full compliance with lender, guarantor, and regulatory requirements at the local, state, and federal levels utilizing tech solutions that embed compliance checks directly into workflows.
- Review policies and procedures to stay informed on regulatory changes and risk mitigation, with automated alerts for regulatory updates.
- Support internal audits of the loan administration function and implement corrective action plans as needed supported by digital audit trail technology and automated compliance reporting.
Reporting & Analytics
- Prepare regular reports on loan pipeline activity, team productivity, and other key metrics with business intelligence dashboards and self-service reporting tools.
- Monitor and analyze department KPIs to identify trends, performance gaps, and opportunities for improvement using predictive analytics.
- Provide strategic insights and recommendations to senior leadership based on data analysis for credit strategy improvement improvements to senior leadership based on data analysis.
Cross-Functional Collaboration
- Partner with departments including sales, underwriting, closing, marketing, compliance, and risk ensuring seamless loan operations.
- Collaborate with IT and Engineering to support system enhancements, API integrations, workflow optimization, and user feedback loops.
- Coordinate with Sales and Marketing to leverage borrower funnel analytics and data visualization tools for pipeline management.
Training & Continuous Improvement
- Stay informed of industry trends, particularly in SBA and loan administration practices, with a focus on tech enabled innovation and tech adoption.
- Conduct routine training sessions to educate the team on regulatory updates, process enhancements, and emerging tools or technologies.
- Lead system optimization reviews to identify and implement digital-first improvements.

Your Areas of Knowledge and Expertise
- Bachelor’s degree in Finance, Business Administration, or a related field.
- Minimum of 5 years of experience as a Loan Administration Manager, Risk Unit Manager or in a similar role.
- 10+ years of experience in financial services, with strong knowledge of loan documentation and servicing.
- Proficiency with Salesforce, DocuSign, electronic document filing systems, and loan origination/management systems is a plus.
- Strong understanding of SBA loan processes, documentation requirements, and regulatory guidelines, including C&I and Commercial Real Estate loan transactions. Experience with loan participations and specialized loan products preferred.
- Strong analytical and problem-solving capabilities, with active listening skills.
- High attention to detail and strong organizational abilities.
- Proficient in Microsoft Word, Excel, and other Microsoft Office applications; advanced computer skills are preferred.
- Solid knowledge of accounting principles, financial statement analysis, and lending regulations.
- Exceptional verbal and written communication skills.
- Strong interpersonal skills with the ability to collaborate effectively across all levels of the organization.

COMPENSATION RANGE
The US base salary range for this full-time position is $110,000 - $131,500 annually.
Our salary ranges are determined by role, level, and location.

Within the range, individual pay is determined by multiple factors like job-related skills, experience, and state of residence. PHYSICAL REQUIREMENTS
This is a stationary position that requires frequent sitting (approximately 95%), repetitive wrist motions, grasping, speaking, listening, close vision, and the ability to adjust focus. It also may require occasional standing, lifting, carrying of 20lbs or less, walking, kneeling, bending/stooping, twisting, pulling/pushing, and reaching above the shoulder. Employees in this position must be physically able to efficiently perform the essential functions of the position.
