JOB DESCRIPTION
Job Title: Human Resources Coordinator
Department: Human Resources
Reports To: Director of Human Resources
FLSA Status: Non-Exempt
SUMMARY: To provide lead responsibility to HR and department staff in processing a variety of personnel forms to hire, onboarding, benefits, promote, transfer and separate employees in the automated HR/Payroll system; to maintain the high integrity of the employee data and the automated HR processes; to maintain a variety of data in the HR/payroll system; and to perform a variety of technical tasks related to assigned area of responsibility.
ESSENTIAL DUTIES AND RESPONSIBILITIES: not limited to the following
- Consult with personnel liaisons, supervisors, and management staff regarding personnel actions and their adherence to contractual guidelines and other policies and procedures.
- Assist with recruitment and onboarding of new candidates.
- Oversee the employee records unit; assist departments in preparing documents to request personnel activity; upon receipt of documents, verify information and locate missing information, confer with originator regarding alternatives, if appropriate, verify calculations, obtain authorized signatures, and key information into the HR system; be knowledgeable of signatures of various actions requested.
- Provides information to new employees about insurance, 401k, and other benefits.
- Maintain a wide variety of critical data in the system: current position information, including personal data, acting pay, service date and assignments.
- Assists HR Director with various research projects/or special projects.
- Assists HR Manager with multiple tasks including the coordination of onboarding international staff.
- Ensure monthly terminated employee list is disseminated to Security.
- Maintain procedure manual and scripts for performing all required system functions.
- Maintain knowledge of system required to retrieve reports and other requested data for management.
- Prepare reports as required.
- Assist with employee relations and recognition events.
- Files papers, make photocopies, and performs other clerical duties as assigned.
- Great verbal and written communication.
SUPERVISORY RESPONSIBILITIES:
Receives direction from the Human Resources Director and Human Resources Manager. No other supervisory duties apply.
QUALIFICATIONS:
Knowledge of operations, services, and activities of an automated human resource system, modern office equipment, advanced principles of arithmetic, business letter writing and report preparation. Knowledge of federal state and local laws, codes and regulations pertaining to human resource management and record keeping. Independently perform most difficult tasks involved in processing employee actions.
EDUCATION AND/OR EXPERIENCE:
Three years of increasingly responsible experience processing a wide range of employee actions in a human resources or personnel department of a large organization. Equivalent to High School graduation, supplemented by college level coursework in human resources management, personnel management, or related field. SHRM certification is a plus.
LANGUAGE SKILLS:
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.
MATHEMATICAL SKILLS:
Ability to work with mathematical concepts such as probability and statistical metrics. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
REASONING ABILITY:
Analyze problems, identify alternative solutions, project consequences of proposed actions, recommend best options and implement approved solutions in support of goals. Communicate clearly and concisely, both orally and in writing. Establish and maintain effective working relationships with those contacted in the course of work.
