The Business Coordinator plays a key role in supporting the Administrative Services Manager by assisting with the daily operations and implementation of business initiatives within the State Office of Vital Records.  Working closely with the Department of Public Health (DPH) support functions, this position helps streamline administrative workflows, facilitates effective planning and reporting, and fosters efficient coordination across all departments.  The ideal candidate is highly organized and detail-oriented, with demonstrated experience in financial management, contract administration, procurement, and grants management, particularly within fast-paced environments.

Position Duties

  • Maintain accurate records and logs for contracts with external service providers.
  • Coordinate with DPH Procurement and Contracts to ensure timely tracking and prevent contract lapses.
  • Provide administrative support for financial projects, routine business operations, and work order submissions.
  • Oversee office purchasing and supply inventory; offer insights to support informed decision-making.
  • Ensure data accuracy across systems and generate reports for senior management.
  • Manage and process safety paper orders from counties.
  • Process accounts payable (AP) and accounts receivable (AR) invoices.
  • Coordinate procurement activities and prepare documentation for approvals.
  • Manage vendor relationships, including handling Vendor Management forms and W-9 requests.
  • Identify and implement process improvements to enhance operational efficiency.
  • Verify deposits of cash, certified checks, and money orders.
  • Perform additional duties as assigned.


Minimum Qualifications

Associate degree in Business or related field from an accredited college or university and one (1) year of experience related to area of assignment. 

Note: An equivalent combination of knowledge, education, job or intern experience, training, or certifications that provides the necessary knowledge and skills to successfully perform the job at the level listed may be substituted year-over-year.

Preferred Qualifications:

  • 2+ years of experience in business coordination, project management, or administrative role.
  • Experience preparing financial statements.
  • Auditing experience.
  • Experience with People Soft HR and Financials or similar platforms.
  • Demonstrated proficiency in Microsoft Office Suite (Excel, PowerPoint, Word)

The use of physical activity breaks during the workday is authorized to support this philosophy and help employees meet their wellness goals. A maximum of 30 minutes of physical activity may be allocated per workday, typically in the form of two 15-minute breaks or one 30-minute break.
