About the Department

Definition: Under general supervision of the Court Services Supervisor, performs a variety of specialized and confidential clerical tasks necessary for the day-to-day operations of the SRPMIC Community Court. This job class is treated as FLSA Non-Exempt.

Essential Functions:  (Essential functions may vary among positions, but may include the following tasks, knowledge, abilities, skills, and other characteristics.  This list of tasks ILLUSTRATIVE ONLY and is not intended to be a comprehensive listing of tasks performed by all positions in this classification).

Position Duties

  1. Answers routine questions about specialized Court related legal forms, procedures, and petitions; maintains confidentiality on all matters. Maintains confidentiality on all matters. Listens to the public’s complaints, concerns, and questions; directs same to the appropriate department for additional legal assistance. 
  2. Types specialized documents such as criminal and traffic orders, criminal summons, jury summons, restraining orders, warrants, and notice of hearings.  Assigns docket numbers to criminal and traffic complaints.  Searches for information (e.g., previous fines) or documents requested by judges. Types statistics on court productivity,  memos, motion, petitions, court orders, and other documents using a typewriter or keyboard, enters information into a database, photocopies appropriate information at the request of staff and/or the public; 
  3. Serves as hearing clerk by taking notes, ensuring the recorder is working, announcing the judge, labeling evidence, and swearing in witnesses.
  4. Prepares files for court dates such as arraignments, pre-trials, bench trials, and jury trials.
  5. May accept payments for the Community Court. 
  6. Learns to support each of the specialized sections the Court (civil, criminal/traffic, juvenile, and domestic violence.)
  7. Performs other duties as assigned.
Knowledge, Skills, Abilities and Other Characteristics:

  • Knowledge of the purpose, current issues, projects, organization, policies, and employee responsibilities of the unit to which assigned.
  • Knowledge of the formats used for a variety of correspondence and reports.
  • Knowledge of court work flow, practices and procedures, including those associated with confidential/sensitive information. 

  • Skill in identifying and maintaining the confidentiality of sensitive and important information while using diplomacy and tact. 
  • Skill in establishing and maintaining effective working relationships with those contacted in the course of work. 
  • Skill in operating a variety of standard office equipment which may include a photocopier, fax machine, 10 key calculator, typewriter, multi-line telephone, and a personal computer.
  • Skill in using word processing software. 
  • Skill in typing/keyboarding 40 wpm net.

  • Ability to organize work priorities and meet daily deadlines. 
  • Ability to understand and follow oral and written instructions which may entail procedural or technical detail. 
  • Ability to adapt to changing work situations and assignments.
  • Ability to use initiative and independent judgment, while at the same time recognizing when it is appropriate to refer matters to the supervisor’s attention.
  • Ability to learn job-related material primarily through oral instruction and observation.
  • Ability to operate office support equipment requiring continuous or repetitive arm-hand movements; e.g., using a computer keyboard. 
  • Ability to be flexible in the timing, sequencing, and pacing of tasks in order to assist other Court employees in a team effort.

Minimum Qualifications

Education & Experience: High school graduation or GED and experience equivalent to one year of full time work performing a variety of clerical/office support tasks, preferably within the legal environment; OR completion of a post-high school course/program in Office Practices, General Business, the Legal Environment or closely related area may substitute for the required experience. 

  • For enrolled Community Members without a GED, must obtain GED.  Requires participation in the HR GED Program and successful completion of the Arizona state certified exam in order to continue employment with SRPMIC.

Equivalency: Any equivalent combination of experience and education that will allow the applicant to satisfactorily perform the duties of the job may be considered when filling the position. 

Underfill Eligibility: An enrolled Community Member whom closely qualifies for the minimum qualifications for a position may be considered for employment under SRPMIC Policy 2-19, Underfill

Prior to hire as an employee, applicants will be subject to drug and alcohol testing. Will be required to pass a pre-employment background/fingerprint check.
