ABOUT THE ROLE & TEAM
Ingenico is seeking a highly organized, proactive, and tech-savvy Team Assistant to support the VP of Software Delivery. The ideal candidate will act as a trusted partner to the VP and a key enabler for the broader leadership team, helping manage priorities, streamline workflows, and foster a connected and productive team environment.
Based in Alpharetta office four days per week, with flexibility during the day to accommodate dynamic schedules and priorities.
WHAT YOU’LL DO
Executive Support & Coordination
- Complex calendar management, scheduling meetings across multiple time zones
- Travel arrangements (domestic and international)
- Notes and minutes taking
- Coordinate with other Ingenico offices to align planning, meetings, and cross-regional initiatives.
Leadership Team Support
- Coordinate with the VP’s direct leadership team (based in the US, Spain, Scotland, Vietnam, and Australia).
- Track priority items to support decision-making and coordinate approval workflows.
Team Engagement & Office Presence
- Plan and organize team meetings, virtual events, and local gatherings.
- Track and maintain a calendar of team milestones, birthdays, anniversaries, and personal events; prepare weekly summaries for personalized outreach.
- Creation and distribution of team newsletters and updates.
ABOUT YOUR SKILLS
- Proven experience as an Executive Assistant or in a similar role supporting senior leadership.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Tech-savvy and comfortable using productivity tools (e.g., Microsoft 365, Teams, Outlook, SharePoint, Atlassian).
- Comfortable with using AI platforms
- Ability to work independently, prioritize tasks, and manage multiple projects simultaneously.
- Discretion, professionalism, and a proactive mindset.
- Experience in event planning, internal communications, and team coordination is a plus.
- Fluency in English required; proficiency in French and/or Spanish is a strong plus.
- Role requires responsiveness and adaptability, with a focus on enabling the VP’s productivity and supporting team coordination.
