Duties and Responsibilities of Athletics Operations Administrator

  • Organize and update the home master schedule, including games and special events. 
  • Serve as game day manager for athletic competitions 
  • Coordinate event setups including venue preparation, signage, and safety protocols. 
  • Communicate with visiting teams, game officials, and internal staff to confirm schedules and logistics. 
  • Organize event staff, including ticketing, security, and student workers. 
  • Monitor crowd control and safety in coordination with campus security or local law enforcement. 
  • Troubleshoot and resolve operational issues in real-time. 
  • Collect feedback from coaches, officials, and staff for future improvement.
  • Manage payment of officials through RefQuest for multiple sport.
  • Update and distribute the PNW Travel Guide for officials and visiting teams.
  • Manage game contracts for home and away competitions 
  • Facilitate hotel contracting for team travel with contracts office, ensuring contracts are reviewed, signed, and countersigned. 
  • Serve as van driver for athletic team competitions 
  • Assist in the planning, implementation, and execution of special event logistics for Sports Fest, Hall of Fame, Mane Event, Annual Athletic Banquet, and Golf Outings 
  • Serve as point of contact in the Athletics office, assisting coaches, staff, students, and the public with inquiries. 
  • Process purchase card transactions and invoices for coaches and staff. 
  • Oversee purchasing of office supplies, team equipment, and departmental needs. 
  • Maintain records of athletics staff annual trainings and certifications. 
  • Manage onboarding of student workers and temporary hires for the department. 
  • Prepare payroll spreadsheets for temporary hires to assist coaches and supervisors. 
  • Send biweekly payroll email reminders to staff to ensure timely submissions. 
  • Serve in Fitness Center and monitor faculty, staff, and student utilization and prepare utilization reports 
  • Process Fitness Center new membership registrations and coordinate with the Bursar’s Office for payment processing

Education of Athletics Operations Administrator

  • Bachelor’s degree in Communications, Business Administration, Management, or a related field. 
  • An equivalent combination of education and experience will also be considered. 

Experience of Athletics Operations Administrator

  • Minimum of 1 year of experience in a senior or lead administrative support role

  • Must have the ability to use good judgment, multitask, manage multiple priorities and meet deadlines in a fast-paced environment. 
  • Must have excellent verbal and written communication and organizational skills. 
  • Must have the ability to take initiative and work at times with little to no direction and under very minimal supervision. 
  • Must have the ability to maintain confidentiality and work effectively with diverse groups of individuals. 
  • Must have the ability to navigate databases and other computer programs
  • Must have excellent computer skills. 
  • Must be able to provide excellent customer service to internal and external customers and ability to interpret and communicate University policies and procedures. 
  • Must be able to adapt well to changes and willing to learn new things. 
  • Must be able to conduct oneself in a positive and professional manner. 
  • Must have the ability to proofread and edit written materials.
  • Ability to maintain a flexible work schedule that will include weekends, early and late hours to manage events. 
  • As a part of the job responsibilities associated with this position, knowledge of rules and regulations set forth by the NCAA and conference should be maintained, reviewed and practiced to ensure compliance relative to those applicable duties.
