Summary
Perform complex office/clerical tasks related to the computerized student accounting system in support of the assigned campus/department under limited supervision while maintaining a high level of confidentiality. Maintain accurate attendance records for the campus. Perform data entry including attendance, Public Education Information Management System (PEIMS) data for federal and state mandates. Tasks are diverse and occasionally complex in nature, requiring individual analysis and judgment. Be able to apply and develop their skills. Serve as a resource for administrators, staff, parents and/or campus/department.
Essential Functions
- Supervise the collection of student attendance records; record and monitor student attendance and tardies daily; maintain attendance coding on the computerized student accounting system.
- Maintain accurate PEIMS data in the student information system; prepare required reports for submission to District, state and federal agencies i.e., Federal Impact Aid Survey, no shows, truancy, attendance, etc.
- Ensure compliance with Texas Education Agency as outlined in the Student Attendance Accounting Handbook, state, and federal laws, and District policies and regulations related to student attendance, withdrawals, leavers, transfers and accountability data.
- Enroll students and collect all records and required documentation in accordance with State, Federal and District policies; establish and maintain student demographic data in the District's computerized student information system.
- Request and/or forward documentation and special program participation records from/to previous schools within thirty (30) days of student enrollment and within ten (10) days on the Texas Records Exchange System (TREx) as applicable.
- Communicate District policy on absences and tardiness to students and parents; follow up on absences and coordinate attendance issues with campus administrator(s) and appropriate truancy-prevention personnel.
- Prepare and print reports, including attendance reports, grades, class or personnel rosters, six weeks reports, end-of-year reports, or accounting reports.
- When professional staff has completed and validated credit redemption or credit recovery for a student, attendance clerk is to make appropriate changes in the District's Student Information System.
- Accommodate the needs of students, parents, teachers, staff and/or the general public as appropriate to assist administration in providing information and services.
- Maintain positive and cooperative working relationships with colleagues and others in the conduct of district business and demonstrates team work in daily activities.
- Attendance at the work site is required to meet essential functions of the job.
Other Responsibilities
- Follow established safety procedures and techniques to perform job duties and support the goals of the District/department and follow District policies and procedures.
- Participate in professional development activities as required by the District.
- Maintain a professional code of ethics and perform other duties as assigned.
Qualifications
High school diploma or General Education Diploma (GED); five (5) years of general clerical/secretarial experience; OR eighteen (18) semester hours from an accredited college/university may be substituted for each year of experience; proficient skills in keyboarding, word processing, file maintenance, personal computer and software to develop spreadsheets and databases, electronic mail and internet; basic math skills; must be able to communicate, listen, read, write, and comprehend the English language sufficiently to use it easily and readily in daily communication; possess required skills and knowledge as assessed by the Ysleta ISD Paraprofessional Test.
Mental/Physical Demands
Maintain emotional control under stress; work with frequent interruptions. Repetitive hand/wrist motions and prolonged use of computer. Requires prolonged sitting, moderate standing, walking, bending, reaching, and may require lifting up to 25 lbs.
