JOB OVERVIEW
The Administrative Assistant provides administrative and operational support for units in the Department of Information Services with a focus on Applications and Data Analysis and the Digital Transformation support. The position reports to the Senior Vice President, Applications and Data Analysis and supports Department Unit Heads. Responsibilities are predominantly administrative, involving coordination of calendars, development of presentation materials, assistance with travel arrangements, reconciliation of expenses, dealing with contracts purchase orders and invoices, and arrangement of meeting schedules.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Working directly with the Senior Vice President and other department unit heads, maintains calendars, including scheduling meetings (standard and non-standard), appointments, speaking engagements, and travel (may include domestic and international) arrangements.
- Keeps the Senior Vice President and other department leaders advised of time-sensitive and priority issues, ensuring appropriate follow-up.
- Assists in preparation and distribution of meeting agendas and materials.
- Attends meetings and takes notes of discussions; prepares initial drafts of minutes and summaries.
- Prepares documents, reports, tables, and charts; distributes as appropriate.
- Prepares, reconciles, and submits expense reports.
- Completes a variety of special projects, including creating PowerPoint presentations, special reports, and agenda materials.
- Manages invoices as required, including certain invoices for the Chief Information Officer and Applications and Data Analysis.
- Assists with management of data requests, contracts (AGILOFT), and related agreements.
- Assist with Data Systems and Cloud Analytics Customer Support as needed.
- Working knowledge of Office 365, AGILOFT, and Concur.
- Other duties as assigned.

QUALIFICATIONS
Minimum
- High school diploma (or GED equivalent) and three years’ administrative support experience requiring records management, use of Microsoft Office applications (Word, Outlook, Acrobat, PowerPoint, basic Excel), external and internal interactions, and oral and written communication skills.
Preferred
- Bachelor’s degree in a relevant field of study.
- At least five years of experience providing administrative support to a health care-related department.
- Three years’ experience in meeting planning.
- Experience using expense management platform such as Concur or similar system.

WORK ENVIRONMENT/CONDITIONS
- This position is based in a typical office environment with no specific or unusual physical or environmental demands.
- Most of the work performed is normally done in the ACGME office and/or home office with the typical physical demands of an office environment.
