The Case Intake Coordinator will be responsible for receiving all incoming cases from our clients and assigning a reviewing physician. This role will also include organizing, preparing, and posting to the physician portal for physician reviewers and will be responsible for ensuring proper due dates and times are provided to the physician reviewer. The Case Intake Coordinator will make decisions regarding billing time allotment for cases, pay rates for cases to the physician reviewers, assigned specialties for cases, revised due dates for cases, and overall case identification.
Essential Job Functions:
- Frequently check company portal, email, and postal mail for incoming cases
- Accept cases over the telephone and via portal from clients in a professional and prompt manner
- Add a note to the case notes, “working” the case
- Use logic and reasoning to determine whether a case will be accepted by the company and send professional responses to client
- Use logic and reasoning to chronologically determine and organize cases, assigning sensitive due dates and times (following the step-by-step protocols provided in the training manual
- Use logic and reasoning to determine and assign fees for charged services using the billing algorithm provided which uses page count and number of questions
- Ensure the due date is at least 1-2 days prior to the due date for us to have time to prep the report before sending
- Highlight, log, data-entry, and assign cases to reviewing physicians
- Communication with clients regarding review needs
- Reach and maintain a 50-60 average case load per day after released from training
Requirements
Knowledge and Abilities Requirements:
- Professional demeanor
- General typing / word processing skill at 65 wpm or better
- Ability to proficiently utilize a computer, printer, scanner, and telephone system
- Data Entry 10 Key Skills at 5,000kph / Data Entry Alpha Numeric Skills at 10,000kph
- Excellent knowledge of MS Office
- Ability to multitask and prioritize daily workload
- Discretion and confidentiality
- Support others in a team environment
- Observe and respect the organizational flow of the office
Education and Experience:
- High School diploma or equivalent
- Minimum of 3 years of administrative experience
License and Certification: None

Position Demands:
This position requires sitting, bending, and stooping for up to 8 hours per day in an office setting. Ability to lift and move objects weighing up to 10 lbs. Ability to learn technical material. The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc. Must be able to operate a computer and other office productivity machinery such as a calculator, copy machine, printer, etc. The person in this position frequently communicates with guests, team members, and vendors and must be able to exchange accurate information.
