Job Description:This position is instrumental in providing executive support for senior leadership roles at Spectrum Retirement Communities, including a Managing Director. The Personal Executive Assistant is a senior level administrative resource with strong organizational and technical skills and a proven ability to manage multiple priorities in a collaborative environment.
Salary: $100,000-$125,000 per year
Essential Job Functions:
- Act as gatekeeper for the Managing Director as needed; monitoring calls, calendar & appointments, and visitors.
- Book travel (personal and business, private and commercial), provide directions and provide documents as needed.
- Prints reports and meeting notes. Sets up meeting rooms for guests and, if requested, attends meetings to transcribe information for executives for follow up and action planning.
- General administrative duties including, but not limited to coordinating projects, customer contact, report and spreadsheet maintenance, Power Point, and presentation preparations.
- Manage professional and personal Outlook calendars, coordinate schedules, plan appointments, activities, and manage communication.
- File monthly expense reports.
- Collaborate with the rest of the executive assistant team for office coverage, meetings, events and visitors.
- Perform personal errands and tasks as requested.
- Bachelor’s Degree Preferred. High School Diploma or equivalent required.
- A minimum of 5 years’ experience in an executive support role.
- Must be able to maintain full confidentiality regarding personal information, proprietary information, team member and resident information.
- Well presented & articulate with strong verbal and written communication skills.
- Highly proficient in Microsoft Office (Outlook, Excel, PowerPoint, etc.).
- High intelligence, discretion, professionalism and energy.
- Flexible hours sometimes needed.
- Must be proactive and have the ability to handle multiple tasks and priorities and have excellent time management and organizational skills and be able to meet deadlines.
