On-Site Project Administrator

Description

The Role:

The Project Administrator performs a wide variety of duties, some of a confidential nature, including administrative and clerical functions. The PA directly supports the Manger, Operations Administration/Project Administration Manager, and Project Manager(s), Project Engineer(s) and Superintendent(s) of each project assigned to.


Your key responsibilities will include:

  • Maintain contract and correspondence files, which includes filing
  • Miscellaneous project support (mailing, scanning, tracking, etc.)
  • Performs all aspects of document control
  • Office Manager/Executive Assistant Support
  • Monthly Project Review Report Preparation and Distribution
  • Provide ongoing support and back up for the Office Manager and Executive Assistant.
  • Prepare and distribute to the CFO, Sr. VP of Operations and Controller the Monthly Project Review Report based on the monthly project Cost Forecast Reports and the Controller’s monthly Backlog Report.
  • Provide administrative coverage at MATT’s satellite office in Downtown Los Angeles.
  • Provide daily administrative support at the job site field office.
  • Preparation (which includes typing, proofreading, processing and distributing) of Subcontract, Purchase Order, and Professional Service Agreement contract documents and other miscellaneous correspondence when requested.
  • Preparation of Change Orders for Subcontracts, Purchase Orders, Professional Service Agreements and Owner Contracts.
  • Providing unsigned copies of Subcontracts, Professional Service Agreements, Purchase Orders and Change Orders, to the jobsite for the project team and/or the job Superintendent.
  • Uploading scanned copies of approved/executed Subcontracts, Professional Services Agreements, Purchase Orders, related Change Orders, insurance certificates, bonds and other miscellaneous documents (i.e. Owner Contracts & Change Orders, personal guarantees, etc.) into CMiC Project Management.
  • Prepare and distribute project(s) Meeting Minutes.
Requirements
  • Previous experience as a Project Administrator desired
  • AA or BA Degree or equivalent employment experience
  • PC computer software skills (word processing, spreadsheets, Power Point, etc.)
  • Ability to communicate effectively both verbally and in writing
  • Reliable transportation
  • Willing to move to job sites/corporate office in the LA Metro area

  • Procore Project Management System
  • DocuSign Electronic Signature System
  • myCOI insurance software
