Purpose

The Patient Scheduler plays a critical role in keeping patient appointments and clinic workflow efficient across all sites. This position involves scheduling routine and emergency appointments, verifying registration and billing information, and providing clear and compassionate communication to patients regarding services and appointment preparation.

Essential Duties and Responsibilities:

  • Schedule patient appointments with clinical providers and other professionals using Epic and Dentrix software.

  • Update schedules throughout the day to reflect cancellations, walk-ins, and emergencies.

  • Collect and verify pre-registration information for new patients, including contact and insurance details.

  • Work with billing to verify coverage in real-time.

  • Assist in triaging incoming phone calls and route as appropriate.

  • Maintain patient call lists for those Available on Short Notice (ASN) to optimize provider schedules.

  • Schedule procedures once authorization is received and explain consent requirements for minors or patients under guardianship.

  • Adjust communication style to meet the needs of patients from diverse cultural and linguistic backgrounds.

  • Collaborate with front desk staff to monitor schedules, optimize patient flow, and fill open appointment slots.

  • Attend internal/external meetings as required by the supervisor.

  • Uphold high customer service standards, reflecting a positive image of Noble Community Clinics.

  • Maintain patient confidentiality in compliance with HIPAA.

  • Maintain knowledge of Federally Qualified Health Center (FQHC) requirements.

  • Perform additional duties as assigned.

Minimum Qualifications:

  • Ability to work independently and collaboratively in a team environment.

  • Ability to handle stressful situations professionally.

  • Strong analytical, problem-solving, and organizational skills.

  • Excellent interpersonal skills to effectively communicate with patients, providers, and staff.

  • High ethical standards and respect for confidentiality.

  • Proficiency in Microsoft Office Suite or related software.

Education & Experience:

  • High School Diploma or equivalent.

  • Minimum of 3 years’ experience scheduling appointments in a call center or healthcare setting.

Language Skills:

  • Bilingual in Spanish a plus
