Job Description – Project Manager

We are seeking a highly organized and proactive Project Manager to oversee and coordinate multiple projects within our portfolio. The role involves managing timelines, ensuring compliance, driving provider participation, and maintaining seamless communication among stakeholders. The ideal candidate will be responsible for planning, execution, and tracking of projects to ensure timely delivery and alignment with business goals.
Key Responsibilities
  • Prepare detailed project milestones, timelines, and deliverables.
  • Schedule and facilitate introduction and kick-off calls with study teams, ensuring all prerequisites are in place.
  • Coordinate with stakeholders to obtain approvals and ensure smooth workflow.
  • Collaborate with cross-functional teams to complete tasks as per agreed timelines.
  • Review documents such as brochures, reports, and communication material to ensure accuracy, compliance, and quality.
  • Communicate with and encourage providers to actively participate in studies and schedule briefing calls by managing different time zones
  • Maintain and update trackers, templates, and project documentation.
  • Manage and update provider contact database on CRM systems.
  • Partner with sales teams to schedule provider calls and provide requested information.
  • Track provider participation levels and share insights with study teams and leadership to maximize engagement.
  • Generate and maintain project reports and templates using Excel and PowerPoint.
  • Utilize CRM and project management tools to monitor progress and manage workflows.
  • Organize internal status calls, circulate minutes of meetings (MoM), and ensure timely follow-ups.
  • Lead the process of issue identification, troubleshooting, and resolution.
  • Manage and prioritize multiple projects within the company’s portfolio simultaneously.

Skills & Qualifications Required
  • Education: Bachelor’s degree in related field (Master’s degree preferred).
  • Experience: 5–7 years of project management or coordination experience, preferably in research or consulting environments.
  • Project Management Skills: Strong ability to plan, organize, and manage multiple projects with competing deadlines.
  • Stakeholder Management: Excellent interpersonal and communication skills to collaborate with diverse internal and external stakeholders.
  • Documentation & Compliance: Strong attention to detail with experience in reviewing and ensuring error-free, compliant documentation.
  • Analytical Skills: Ability to track metrics, analyze provider participation, and present insights to leadership.
  • Technical Skills:
    • Proficiency in MS Office Suite – Excel (vlookup, mail merge, macros), PowerPoint (presentations, reporting).
    • Familiarity with CRM systems and project management tools (e.g., MS Project, Monday.com, Salesforce, Jira).
  • Soft Skills: Proactive, problem-solving mindset, ability to resolve issues independently, strong time management, and adaptability to handle multiple priorities.
  • Certifications (Preferred): Project management qualification (PMP), Certified Associate in Project Management (CAPM), or equivalent experience as a project manager
Required Experience:
  • 5-7 years of overall experience in Project Management
