Executive Coordinator

The Executive Coordinator provides high-level administrative support to the CEO and Executive Management Team. This role requires strong judgment, attention to detail, and the ability to work independently on a wide range of confidential and complex tasks.

Compensation: $55,000 to $90,000 per year - DOE
Location: Bellingham, WA Preferred
What You’ll Do
Engage with the CEO and Executive Management Team in a professional, team-focused manner.

Key Responsibilities
Manage the CEO and Executive Team’s calendars, meetings, projects, and priorities, including scheduling, travel coordination, and proactive communication of details.
Anticipate and prepare materials needed for upcoming activities, ensuring executives are well-prepared for meetings and deadlines.
Draft and edit correspondence, reports, presentations, and meeting notes with accuracy and professionalism.
Handle phone inquiries, email, and mail with discretion, ensuring appropriate routing and follow-up.
Conduct, compile, and present research on prospective clients, vendors, products, or competitors.
Coordinate and manage special projects, ensuring milestones and deadlines are achieved in collaboration with staff across the firm.
Gather, review, and interpret data, combining analytical skills with business understanding to communicate key information to stakeholders.
Minimum Qualifications
Bachelor’s degree with at least two (2) years of progressively responsible administrative experience, or equivalent work experience.
Advanced proficiency with Microsoft Office (Word, Excel, Outlook, including Pivot Tables); database experience preferred.
Exceptional written and verbal communication skills.
Strong organizational skills with the ability to manage multiple priorities and deadlines.
Demonstrated ability to anticipate needs, work independently, and solve problems proactively.
