  • Principal working relationships: Vice President of Institutional Resources, Assistant Manager of Employee Experience, Employee Benefit and Wellness Educator, Assistant Payroll Lead, Faculty, and Staff

Position Duties

Major Responsibilities / Assists With / Risk Management
Primary responsibilities
  1. Responsible for overall management of the institutional HRIS system(s) functions and maintenance.
  2. Work collaboratively with HR team members in creation and improvement of HRIS system processes, including but not limited to employment paperwork, benefit elections, performance reviews, payroll, and time cards.
  3. Act as the main point of contact for college employees as it relates to their HRIS System account(s) including but not limited to, sign-in, access permissions, and general overall use.
  4. Serve as main back-up for institutional payroll practices.
  5. Serve as main back-up for institutional end of year tax process, including but not limited to creation of W-2’s and 1095c’s.
  6. Coordinate departmental data requests for internal and external needs.
  7. Manage HR document and information procedures to ensure compliance with legal and regulatory requirements of records management storage, retention, and destruction.
  8. Provide education and training to employees and managers regarding timecards and other HRIS processes.
  9. Maintain knowledge of trends and developments in data management and security, HR technology, and HRIS applications.
  10. Oversee and maintain department shared file storage ensuring accuracy, integrity, and security.
  11. Review and submit all associated invoices for payment including but not limited to HRIS and unemployment system fees.
  12. Participate in the establishment of strategic initiatives for Human Resources and the assessment of the department’s performance goals.
  13. Other duties as assigned.  
Assist with:
  1. Implementation of new or updated processes to ensure continued compliance with legislation.
  2. New employee orientation.
  3. Unemployment claim responses
  4. Supervision of student workers or interns.
  5. Campus professional development activities.
  6. Data assurance procedures with the Institutional Effectiveness team as needed.
  7. Maintenance of department information on college webpages and other communication platforms.
Risk-management and loss-prevention activities
  1. Maintain a working knowledge of the college’s emergency procedures and actively participate in the college risk-management program.
  2. Monitor conditions, events and circumstances that present risk to the college community. Intervene and/or report as specified in the college’s risk-management plan.

Minimum Qualifications

Minimum Necessary Skills, Experience, and Educational Background
Minimum necessary education, skills and experience
  1. Associate degree or 120 college credit hours or appropriate professional certifications and 2 years of related experience required; Bachelor’s degree preferred. 
  2. Demonstrated experience with HRIS systems.
  3. Ability to work collaboratively across multiple departments or areas of service including vendors.
  4. High level of knowledge of computer systems, word processing, spreadsheets, data management, and other similar software.
  5. Must be able to work independently and prioritize multiple projects simultaneously.
  6. Working knowledge of human resources and payroll practices and procedures preferred.
  7. SHRM-CP or SHRM-SCP preferred. 
  8. Ability to communicate effectively both orally and in writing. Good spelling, grammar, and proof-reading skills required. 
  9. The ability to communicate successfully with clients of all ages, socio-economic status, sex, or race. 
  10. Valid driver’s license required.
  11. Spanish or French proficiency preferred.

  1. Basic dexterity skills (computer work, telephoning and other office equipment).
  2. General physical effort required includes sitting, bending, reaching and some lifting (20 lbs. or less) and the ability to place a work order for anything over that limit.
