JOB PURPOSE
The Administrative Assistant’s primary function is to help keep daily operations running smoothly by handling clerical tasks, organizing information, and supporting team members. Duties include managing schedules, handling correspondence, and maintaining records.
JOB DUTIES AND RESPONSIBILITIES
Essential Job Functions
- Managing schedules, coordinating meetings, and setting up appointments to keep workflows organized and meet deadlines
- Handling phone calls, emails, and other correspondence while prioritizing urgent matters and maintaining professional communication
- Maintaining and organizing files, records, and documents in digital and physical formats for easy access and retrieval
- Preparing reports, presentations, and spreadsheets by compiling data and formatting information in a clear, professional manner
- Ordering office supplies, managing those inventory levels, and coordinating equipment maintenance to ensure a well-stocked and efficient workspace
- Assisting with data entry, bookkeeping, and expense tracking by accurately recording financial transactions and reconciling reports
- Liaising with clients, vendors, and internal staff to relay information, schedule appointments, and support business operations
- Ensuring confidentiality and accuracy when handling sensitive information, company records, and financial documents
WORKING CONDITIONS
Physical Demands: Requires sitting or standing for extended periods of time. Requires the ability to go up and down stairs. Requires frequent walking, bending, and reaching to shoulder level. Requires occasional squatting, lifting, carrying, pushing or pulling weight up to 20 pounds. Requires repetitive hand movement. Requires eye-hand coordination and manual dexterity. Requires corrected vision and hearing to normal range.
Work Location: PDR facility in Camarillo, CA.
Experience: At least 1 year of related experience in office administration, bookkeeping, or related field preferred.
