Duties and Responsibilities (*denotes essential functions):
- Provides administrative and operations support for the football program; manages the daily operations, logistics, and administrative needs of the UH football program. Responsibilities span travel, recruiting, events, budgeting, compliance, and staff/student-athlete coordination.
- *Provides day-to-day administrative work of broad scope and significant complexity under the general direction of the Head Football Coach and the General Manager.
- *Assists the General Manager with directing the daily operations and staff of the Football Office. *
- *Assists the General Manager with Team Travel & Logistics operations which include but are not limited to the following: Team Meals: organizing menus for all meals with banquets at perspective hotels for home and away games; Hotels: arrange hotel accommodations for team making sure appropriate room requirements are met; Meeting Rooms: coordinate the necessary meeting room requirements; and serve as travel liaison on-site during all away games.
- *Coordinates ground operations (home and away) with campus police, facilities, and event staff; oversee team arrivals, setups, and credentials.
- *Assists the General Manager with the organization of preseason training camps.
- *Coordinates practice logistics with internal departments associated with practice such as: facility setup, officials, equipment, and schedules (e.g. off-season workouts, spring ball, fall training camp, and in season practices).
- *Assists the Head Coach and General Manager with organizing the annual calendar for the program.
- *Assists the General Manager with oversight of budgeting and financial tracking for football operations (travel reimbursements, camps, events).
- *Performs necessary administrative assistant duties that include processing paperwork such as: admissions, scholarships, compliance forms, reimbursements, and vendor contracts.
- *Coordinates all internal communication between staff and players utilizing Teamworks.
- *Under the guidance of the General Manager will liaise with Athletics Business Office, Compliance, Academics, Facilities, Nutrition, Media Relations, Sports Medicine, and other UH departments.
- Assists the General Manager with the logistical planning of all nutrition for the program: training table, protein, snacks, etc.
- *Leads and supports special initiatives/events: football camps, coaches clinics, alumni or donor events, team functions, and other projects as assigned.
- *Promotes and fosters a positive team environment, appropriate behavior, and sportsmanship by team members. Responsible for the conduct of team members both on and off the court.
- *Promotes and maintains an environment where the physical, mental, social and academic well-being of all student-athletes are a priority.
- *Works outside normally scheduled work hours including days, nights, weekends and /or holidays hours as directed.
- *Performs the duties of a Campus Security Authority as defined by University policy and federal law with regards to the Clery Act.
- *Maintains confidentiality to include but not limited to information, files and records that the incumbent may obtain or possess, in accordance with federal and state laws and University of Hawaii policies.
- *Demonstrates a positive, professional working attitude and maintains a collaborative working relationship with the coaching staff, team members, support staff, administrators in the UH Athletic Department and other individuals associated with the program.
- *Maintains collaborative working relationships with administrators and coaches in the department, other college offices, and appropriate relationships with members of the media, donors, and other individuals interested in the Athletics Department.
- *Knows, recognizes, and complies with the laws, policies, rules, and regulations governing the University of Hawaii and its employees, and the rules of the NCAA and affiliated conferences as now constituted or as may be amended in the future. Immediately advises the Director of Athletics or designee if there is reasonable cause to believe violations, whether by employees or students, have occurred or will occur.
- Other duties as assigned.
Minimum Qualifications
- Possession of a baccalaureate degree in business administration, arts and sciences, humanities, social sciences, natural sciences, education or related field and two (2) years of progressively responsible professional experience with responsibilities for program management in intercollegiate athletics including but not limited to NCAA compliance, recruiting and academic support; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
- Functional knowledge of principles, practices and techniques in the area of program administration in intercollegiate athletics demonstrated by knowledge, understanding and ability to apply concepts, terminology.
- Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with program administration in intercollegiate athletics.
- Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of program administration in intercollegiate athletics.
- Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
- Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
- Demonstrated ability to operate a personal computer, apply word processing software, and spreadsheet software.
- Knowledge of football as competed at the collegiate level.
- Demonstrated ability to multi-task while complying with deadlines and short turn-around assignments
- Demonstrated ability to take the initiative to independently complete task assignments.
- Ability to work outside normally scheduled work hours including day, night, weekend and /or holiday hours as directed.
- Ability to travel with the team as required.
- Demonstrated ability to exercise discretion and sound analyses to a variety of administrative support, program management or related issues.
- Ability to handle confidential information with a high level of tact, discretion, and diplomacy.
- Ability to work effectively and independently under pressure, with frequent interruptions, and remain flexible in handling several concurrent projects with competing deadlines.
- Demonstrated ability to pay attention to details.
- Ability to work cooperatively and effectively with people of diverse backgrounds.
- Ability to travel independently to various geographical locations in a timely manner. Required to possess and maintain a valid driver’s license.
- First Aid, CPR and AED certification by the employment start date.
- Computer, cell phone, and social media technology competency.
Desirable Qualifications
- Division I program management experience in football.
- Ability to understand and work effectively in Hawai‘i’s multi-cultural society.
