Program Summary:
Since 2007, Trans:Thrive has provided comprehensive medical and social services for the trans/GNC community of San Francisco. More than a drop-in center, Trans:Thrive is a safe space and “one-stop shop” where community members access case management, primary care, dental care, behavioral health services, gender-affirming care, substance use treatment, support groups, hot meals, and community events.
Role Summary:
The Receptionist is the welcoming face of Trans:Thrive and first point of contact for clients and visitors. This position plays a key role in ensuring a positive, affirming experience for all who enter the space. The receptionist manages client check-in and registration, performs new patient intakes, confirms insurance eligibility, and navigates clients to clinical, behavioral health, and supportive services. This position requires excellent communication skills, attention to detail, and the ability to thrive in a fast-paced environment. This position works closely with the Wellness Clinic, Behavioral Health, and Eligibility teams.
Essential Duties:
- Client Reception & Navigation:
- Greet all clients and visitors warmly, assess needs, and connect them to appropriate staff or services.
- Answer incoming calls, return voicemails promptly, and respond to general inquiries about programs and services.
- Maintain a safe, welcoming, and affirming reception area; ensure literature, forms, and signage are up to date and space is clean and organized. Inform manager and Managing Director of any janitorial needs.
- Intake & Registration:
- Complete new patient intakes for Trans:Thrive programs, ensuring required consent-to-treat and sliding scale paperwork are signed.
- Register new patients in Epic, create charts when necessary, and accurately document client information.
- Coordinate with clinic staff to ensure streamlined intake processes between Trans:Thrive and the Wellness Clinic.
- Eligibility & Benefits:
- Receive basic training in Medi-Cal eligibility and confirm client coverage prior to services.
- Update Epic with current insurance benefits and guarantor information to prevent billing errors.
- Collaborate with the Eligibility Team to ensure optimal coverage and enrollment for clients.
- Administrative & Program Support:
- Schedule appointments, send reminders, and check in clients for behavioral health, case management, and other services.
- Perform clerical tasks, such as faxing, scanning, copying, etc., to support program staff.
- Coordinate transportation for clients as needed.
- Collaborate with the Safety Intervention Specialist to maintain client and staff safety.
- Team & Agency Participation:
- Attend staff meetings, trainings, and agency events as required.
- Support program data collection and reporting needs as assigned.
- Perform other duties as needed to ensure smooth daily operations.
Minimum Qualifications:
- High school diploma or equivalent work experience.
- Experience in customer service, office administration, or reception.
- Comfortable and culturally competent in working with LGBTQ communities
- Ability to work effectively with diverse populations, including LGBTQ communities, immigrants/refugees, people experiencing homelessness, and individuals with behavioral health and substance use challenges.
- Strong written and verbal communication skills.
- Detail-oriented with excellent follow-through and reliability.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfort learning new software systems.
- Ability to maintain confidentiality of sensitive client information.
- Proof of TB clearance (within the past 12 months) and up-to-date COVID-19 and flu vaccinations.
Preferred Qualifications:
- Bilingual English/Spanish.
- Experience using Epic or other electronic health record (EHR) systems.
- Experience working in a health center, clinic, or social service organization.
- Familiarity with Medi-Cal eligibility processes.
- Self-starter with the ability to work independently and as part of a team.
