Summary:

The Hospice Inpatient Clinical Secretary II is responsible for performing tasks as assigned by the Hospice Inpatient Director of Clinical Services, RN.

Qualification Requirements

  • High School Diploma or equivalence required
  • Associates Degree in Business Administration, or related field preferred
  • At least one-year experience in healthcare preferred
  • Working knowledge of current software relating to position
  • Ability to work independently
  • Working knowledge of medical terminology

Essential Functions:

  • Creates positive experiences for internal and external customers that will meet their expectations. (External customers include our patients, families, referral sources, vendors, the community, etc. Internal customers are the people within the agency with whom you work.) Displays a high degree of courtesy, tact, and knowledge of services provided by the agency in all contact with staff, patients, and visitors.
  • Responsible for performing all assigned secretarial and/or administrative tasks: (a)types, copies, collate, files and distributes correspondence and other written materials as assigned by supervisor, (b) sends out daily emails to hospice team and other designated listings of patient’s deaths, discharges, etc. and changes address in McKesson as applicable, (c) orders DME for hospice patients as appropriate and (d)manages and prepares IDG spreadsheets weekly, (e) maintains meal calendar for churches and other groups/organizations. 
  • Monitors mail log daily. Prints, mails, and monitors the timely return of all POC's, CTI's, orders, and face to face documents with a threshold of 94% being completed and checked in within 30 days.
  • Processes and passes batches (including supplies) within 72 hours 90% of time, making corrections and communicating to staff as directed by supervisor. Add and delete staff members to Team Batch. Enter Volunteer time into batches and pass daily. Maintains current /accurate phone directory.
  • Demonstrates proper telephone etiquette by answering phone properly in a friendly, courteous, professional and discreet manner with all callers. Coordinates/triage calls received from caregiver or other health care team members to the appropriate personnel promptly and effectively. Appropriately refers clinical questions and queries regarding patent status to Skilled Nursing. Answer call-lights with proper etiquette and notify appropriate staff immediately for patient needs.
  • Creates and maintains the Admission Packets for admitting staff. Keeps staff in formed of any changes and updates to forms. Forwards completed NOE to billing Department within 4 days of patient admission.
  • Generates reports, listings and correspondence as directed by supervisor. Accurately types, proofreads, photocopies, and files materials as requested and as necessary.
  • Accurately order supplies by maintaining supply inventory controls, including removal of expired supplies and products from supply room.
  • Assists with transferring patients by scanning/faxing necessary documents to include transfer summary to receiving facility / Attending.
  • Orders and maintains adequate inventory of office supplies for facility.
  • Maintains communication with supervisor and Hospice Inpatient Medical Director, as required. Keeps supervisor updated on areas of responsibility.
  • Maintains active and discharged records by accurately setting up files for new admits.
  • Assist with death certificates and forwards to Nurse Practitioner/Medical Director for completion and signature. Tracks death certificates to ensure timely completion.
  • Maintains monthly bereavement log. 
  • Scans medical record documents and scans into medical record system timely and accurately.
  • Assists with staff make-up in-services, assist with clinical staff monthly schedule, and assist with HR requirements for all staff. Be a resource for staff for McKesson Issues.Update bulletin boards with current information.
  • Participates in safety committee, assists with maintaining Emergency Preparedness Plan for the inpatient facility.
  • Monitors noise levels at nurse's station to help maintain a quiet, peaceful environment for patients and visitors.
  • Assists with monitoring / reminding staff to sign out when leaving the campus for personal reasons. 
  • Assists with contacting staff in the event of a scheduling need due to a call-in /staffing need, upcoming meeting.
  • Demonstrates an interest in personal and professional growth for self and staff: (a)attends and participates in workshops, seminars, webcasts to keep abreast of
  • current changes in rules, regulations, relating to job functions and department; (b)does individual reading and research; and (c) recommends educational opportunities for staff and encourages participation.
  • Demonstrates a willingness to be cost effective in the use of agency resources, the monitoring of waste, and the proper and safe use of supplies and equipment.
  • Adheres to 3HC's Personnel Policy and performs other appropriate duties as assigned by supervisor to promote the successful operations and future growth of 3HC.
