Responsibilities:

  • This individual is responsible for creating an efficient schedule for patient tests and procedures that is suitable to patient and departmental needs. 
  • The scheduling clerk will assess staffing capabilities as well as patient demand to create a schedule that also promotes a healthy outpatient revenue for our organization. 
  • The scheduling clerk will work closely with various departments as well as admitting clerks to ensure a satisfactory experience for each patient/guest. 
  • The clerk will verify that all procedures are authorized prior to scheduling, ensure interdepartmental communication, and prepare the proper patient information packets for each procedure. All patient information must be verified and entered into the system accurately.
  • Prepares a schedule of tests/procedures for admitting clerks and for each department. 
  • Accurately creates and maintains patient records within the Integrated Scheduling and Registration programs within our system. 
  • Check all orders for pertinent info such as patient's name, birth date, phone number, doctor's signature, diagnosis or symptoms, and authorization number.
  • Use checklists to guarantee all pertinent information is discussed prior to a test, special instructions are given, and that all related tests are scheduled accordingly. 
  • If diagnosis/symptom does not meet medical necessity, physician's office is contacted for additional information.  
  • Reschedule patients at their request as well as clinic or department changes in schedule.
  • Demonstrates a positive and professional approach and communicates effectively with customers and team members at all times.
  • Efficiently and accurately gathers and inputs patient/guarantor demographic and financial information.
  • Exhibits competency in use of the telephone system, scanners, printers, copy machines, fax machine and paging system.
  • Attends and participates in department staff meetings and attends other meetings as assigned.
  • Abides by hospital policies as stated in handbook.
  • Other duties as assigned.

Qualifications:

  • High school diploma, General Equivalency Diploma (GED) 
  • At least 1 year of experience preferred
