Job Summary

Salary: £30,000 - £32,000 (Depending on Experience)

Hours: Monday to Friday, 8am - 4am or 9am - 5pm (37.5 hours per week)

Location: 33 Grosvenor Place, London, SW1X 7HY

Contract: Full-Time & Permanent

What are we looking for?

Cleveland Clinic London are looking to recruit a Pathology Administrator to join our Pathology and Labs Team.


You will provide departmental administrative support of the highest quality to the CCL Pathology team, performing a variety of duties such as handling telephone calls, liaising with patients, liaising with consultants, liaising with our 3rd Party Pathology Provider partners, scheduling and dealing with all related correspondence, trouble shooting issues.

You will also perform an integral role in assisting the Pathology Point of Care Co-coordinator in managing CCL POC service provision as well as deputising for them in their absence.

The role will also require effective trouble shooting capabilities, critical thinking skills, the ability to effectively manage time and priorities as well sensitive and empathic communication skills to communicate with patients, consultants and other caregivers to provide a world class service and patient experience.

What will your duties include?

  • Manage and prioritize multiple assignments simultaneously and effectively under the direction of the Pathology Contracts Manager and Clinical Institute Leadership.

  • Correspond with Consultants and Consultants’ secretaries via telephone, e-mail and letter.

  • Compose and prepare a variety of correspondence (e.g., medical reports, forms, presentation materials, messages, meeting minutes etc).

  • Provide support and assistance for the Pathology POC Coordinator and deputize in their absence.

  • Provide POC training to clinical caregivers and troubleshooting POCT analysers.

  • Provide operational support under the direction of the Transfusion Practitioner which may entail acting on behalf of CCL Transfusion Team.

  • Attend all CCL facility sites and MOBs as and when required including the hospital, office buildings and outpatient buildings.

  • Communicate effectively with other relevant Pathology Laboratories, hospital departments and professionals (etc.) to facilitate the patient journey.

  • Arrange and schedule meetings and take meeting minutes as required.

  • Using in-house electronic medical records system (EPIC); navigating the hospital database system to effectively and accurately obtain and review patient information.

  • Maintain patient confidentiality and always adhere to data protection principles.

  • To work collaboratively within a team and provide coverage to other service lines/consultants as needed in the absence of colleagues within the medical secretariat team.

  • Other duties assigned.

What we need from you?

  • Experience of using Electronic Medical Records Systems is (essential)

  • Experience of UK Pathology regulations and Accreditation standards (essential)

  • Experience with working within a Pathology Service setting within an administration role (essential)

  • Biomedical Scientist Degree (preferred)

  • HCPC registration (preferred)

  • Administration qualifications (preferred)

  • Post grad qualifications (preferred)

  • Experience working in a private healthcare setting (preferred)
