Technip Energies is seeking a dedicated and proactive Administrator to support the Net Zero Teesside Power project. The successful candidate will be responsible for coordinating travel arrangements, hotel reservations, and providing meet & greet services for both national and international visitors and expatriates. Additionally, the role involves supporting project administration activities to ensure smooth project delivery and effective communication across teams. This position is vital in ensuring logistical excellence and a welcoming environment for all visitors and team members involved in the project.
Key Responsibilities
Project Administration Duties:
- Assist with the preparation and maintenance of project documentation, reports, and correspondence.
- Support scheduling of meetings, workshops, and site visits, including logistics and logistics coordination.
- Maintain and update project-related databases, trackers, and filing systems.
- Support procurement activities, including processing purchase orders and tracking deliveries related to project needs.
- Collaborate with project teams to ensure timely communication and document flow
Travel Coordination:
- Arrange and manage domestic and international travel bookings for visitors, expatriates, and project team members.
- Coordinate flights, transportation, and visa requirements in compliance with company policies and client standards.
- Prepare and distribute travel itineraries and documentation.
Hotel Reservations:
- Book and manage hotel accommodations, ensuring cost-effectiveness and comfort for visitors and staff.
- Maintain relationships with preferred hotel vendors and negotiate rates when applicable.
- Handle modifications or cancellations as needed.
Meet & Greet Services:
- Welcome visitors and expatriates upon arrival at the site or designated locations.
- Assist with registration, provide orientation, and ensure visitors are directed to the appropriate contacts or facilities.
- Coordinate transportation and logistical support during their visit.
Administrative Support:
- Maintain accurate records of travel, accommodation, and visitor logs.
- Prepare reports related to travel expenses and visitor activities.
- Support other administrative tasks related to project support as required.
Additional Responsibilities:
- Ensure compliance with health, safety, and security protocols.
- Assist with event planning or meetings related to visitor activities when necessary.
- Collaborate with project teams to anticipate logistical and administrative needs.
Qualifications & Skills
- Proven experience in project administration, travel coordination in a similar role
- Strong organisational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office Suite and travel booking tools.
- Ability to work independently and as part of a team.
- Customer-focused attitude.
Additional Information
- This role may require occasional international travel or site visits.
