Description of Role:
The Executive Assistant (EA) provides high-level support to senior leaders in Pathstone’s Client Advisory team. This is a dynamic, multi-faceted role that blends executive support, client service, internal coordination, and cross-functional project management. Supporting several senior professionals and collaborating with dozens of client teams, the EA ensures efficient operations, outstanding client experiences, and streamlined internal processes across meetings, travel, recruiting, events, and compliance. This role is ideal for a highly organized, proactive individual who thrives in a collaborative, fast-paced, client-first environment.
Key Responsibilities:
- Provide high-level administrative support to several senior members of the Client Advisory team.
- Perform heavy calendaring duties, scheduling complex internal and external meetings, and ensuring schedules are well-coordinated and aligned with business priorities.
- Serve as the first point of contact for clients, representing executives with professionalism, discretion, and excellent judgment.
- Plan and coordinate all logistics for internal events and client meetings (on-site, virtual, and off-site).
- Assist with the creation and production of client books, ensuring accuracy and timely delivery.
- Handle sensitive and confidential information with the utmost discretion.
- Coordinate complex travel arrangements, including flights, accommodations, and ground transportation, managing changes in real time.
- Submit and reconcile expense reports using expense management system with high accuracy and timeliness.
- Partner with the Office Manager and Receptionist to ensure seamless meeting-day execution.
- Build a strong understanding of the team’s goals, operations, and needs. Proactively contribute strategies for efficiencies and help the team in executing tasks effectively.
- Coordinate senior leader’s involvement in boards and committees.
- Be an active member of the Administrative team, serve as backup Reception as needed.
- Assist with recruiting efforts as needed by scheduling interviews.
- Perform notarizations (training and certification provided if not already a Notary Public).
- Perform other duties as required.
Qualifications:
- Bachelor’s degree or equivalent education and experience.
- Minimum 3+ years of experience as an Executive Assistant supporting senior-level managers.
- Highly proficient in Microsoft Office (Outlook, Word, PowerPoint, Excel); experience with Salesforce, Concur, Box, Teams, and OneNote a plus.
- Exceptional organizational skills with the ability to manage multiple time-sensitive priorities while maintaining attention to detail.
- Strong verbal and written communication skills.
- Ability to thrive in a fast-paced, deadline-driven environment with multiple supervisors.
- Operates with integrity, professionalism, and sound judgment.
- Positive, proactive, “no-job-is-too-small” attitude.
- Flexible and willing to work overtime if needed.
- Client service mindset with the ability to build strong relationships internally and externally.
- Financial services industry experience preferred but not required.
Pay Transparency:
Pathstone’s expected starting base compensation for the position as of the time of posting is $85,000 - $110,000 per year. The actual base compensation selected for this role will be set based on a variety of factors, including (but not limited to) experience, education, specialty and training. The successful candidate(s) may also be eligible for a discretionary bonus award.
