JOB DESCRIPTION:
The Trade Events Specialist works closely with Sales Leadership team to carry out the organization’s special events programming mission as well as help ensure long-term growth and sustainability for the Sandals and Beaches Brand. The Trade Events Specialist will directly report to the Trade Events Manager.
The Trade Events Specialist assists the sales department with all sales events. The successful candidate must be organized and efficient in handling a high volume of meetings and event details, can assemble and coordinate resources and able to multi-task. The Trade Events Specialist is responsible for supporting our educational, marketing, and sales initiatives both in-house and at our live events.
The Trade Events Specialist prepares all event documentation and coordinates via Sales, on-property departments, and Travel Partners to ensure consistent, high-level service throughout the pre-event and post-event phases of property events. This position primarily handles complex events and ensures a seamless turnover from sales to service back to sales.
The Trade Events Specialist supports and implements initiatives under the direction and guidance of the sales leadership team. The Trade Events Specialist serves as the event planner and is a liaison for special events on property. This position requires great attention to detail and ability to research issues in a timely and accurate manner.
JOB ROLES AND RESPONSIBILITIES:
- Manage RSVP Event Builder program on the TA Portal.
- Prepare weekly reports for Sales leadership.
- Assist with the planning & coordination of all sales events & travel advisor education programs such as but not limited to:
- Conventions, Unveilings, Conferences, TA Day, STAR Awards
- S.E.E. and B2B FAM’s, Golf Events/Tournaments
- TA Appreciation Events
- Lady Sandals
- All Travel Industry related events (under contract), ie: ASTA, Great Bridal Expo, partnerships, sponsorships and etc.
- Assist in any other project assigned by the Sales Leadership Team.
- Identifies operational challenges associated with the group and works with the property staff and clients to solve these challenges and/or develop alternative solutions.
- Participate on-site at regional and/or national events and conferences agenda creation and printing.
- Hotel reservations for staff and VIPs.
- Create and maintain speaker/sponsor event status sheets as well as speaker/sponsor communication and notes.
- Assist with arranging catering and AV equipment needs for our events.
- Send attendee communication; Save the Date, Roles and Responsibilities, Policies and Expectations, updates, schedules, attire.
- Track, manage and reduce on-site costs, while maintaining high levels of customer service for exhibitors/sponsors and attendees.
- Oversee communication/questions from registrants related to an event.
- Create rooming list and manage room block.
- Builds and maintains close relationships with meeting and event planners, the sales team, and all operating departments/resort management.
- Report registration updates including, names, type and revenue.
- Provide support to our events including the set -up, supervision of temps and break down post-event.
- Attends all intra/inter-departmental meetings as assigned.
- Assists with potential clients (site-inspections/FAMs) as required.
- Assists the Sales Leadership team with budgets and forecasts.
- Inspects function space for physical appearance/maintenance needs and communicates with appropriate point of contact.
- Disseminate pertinent event information to the resorts, Sales and Operations Departments in a timely manner.
- Produce event recaps and track costs for each event.
- May be asked to cover for a BDM at a weekend event; will receive an incentive.
- Other duties, tasks, and assignments, as needed or required by the Sales Leadership Team.

EXPERIENCE:
Outlined below are the academic qualifications and length and type of experience deemed necessary by Unique Vacations Inc. in order to perform the role of Trade Events Specialist competently.
Education: Bachelors degree preferred or equivalent experience in luxury hotels/resorts.
Experience: 3-5 years of experience in sales, marketing and event management at a preferred luxury property.
